Our client is a leading global alternative investment firm with a collaborative, high-performing culture and a strong focus on operational excellence. Due to continued growth within their New York office, they are seeking a Team Assistant & Receptionist to join their administrative team.
This is an excellent opportunity for an early-career professional looking to gain exposure to a fast-paced financial services environment while building experience across reception, office operations, workplace management, and business administration.
The RoleThe Team Assistant & Receptionist will serve as a key administrative presence within the office, acting as the first point of contact for visitors while supporting the day-to‑day operations of a growing team. This role blends front‑of‑house responsibilities with broader office coordination, vendor management, event planning, procurement, and project support.
The ideal candidate is proactive, detail-oriented, service-driven, and excited to take ownership in a dynamic environment.
Responsibilities- Act as the first point of contact for visitors, clients, and employees, creating a welcoming and professional office experience
- Manage reception and front-of-house operations
- Coordinate conference rooms, meetings, catering, and guest logistics
- Manage calendars, scheduling, and travel arrangements for team members as needed
- Maintain office spaces and help ensure the workplace operates efficiently on a daily basis
- Liaise with vendors, building management, and external service providers
- Manage office inventory, supplies, and procurement processes
- Process invoices, expenses, and administrative documentation
- Assist with planning and executing employee events, team activities, and office-wide initiatives
- Support workplace projects and operational improvements
- Partner with colleagues across global offices on administrative and business support initiatives
- Provide general administrative support to the broader team as needed
- Bachelor's degree required
- 1-3 years of professional experience within private equity, investment management, hedge funds, or professional services
- Experience managing calendars, scheduling meetings, and coordinating travel arrangements
- Strong written and verbal communication skills
- Highly organized with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment
- Proactive, resourceful, and solutions-oriented with a strong sense of ownership and accountability
- Professional, polished, and confident interacting with senior stakeholders, clients, and external guests
- Strong interpersonal skills and a service-oriented approach
- Complimentary breakfast and lunch, plus daily snacks and beverages
- Social clubs, employee events, and company celebrations throughout the year
- Five days onsite in Midtown Manhattan
- Reception coverage operates between 7:00 AM and 7:00 PM with staggered schedules across the team
- Overtime available based on business needs
