Overview

We are seeking an Administrative Business Partner (ABP) to serve as a strategic aide for Assemble’s senior leadership. This is a high-trust role built for someone who operates at the intersection of executive support, project management, and strategic problem-solving—and understands that flawless execution is what turns leadership’s vision into results.

At its core, this role keeps our leaders’ time, priorities, and commitments running seamlessly. The ABP proactively manages complex calendars, travel, and logistics. This role also functions as a project assistant for leadership, driving follow-ups, tracking commitments, and ensuring nothing falls through the cracks across a fast-moving portfolio. The ABP will also support or manage special projects as assigned, bringing structure and momentum to initiatives that advance the firm.

The ideal candidate is exceptionally organized and proactive—anticipating needs before they surface, spotting what leadership hasn’t yet flagged, and moving to solve it. They think strategically about the work Assemble does and how their role advances that, and carry themselves with the discretion, judgment, and polish required to represent leadership internally and externally.

Responsibilities
Executive Support & Coordination
  • Own and proactively manage complex, frequently shifting calendars for senior leadership, exercising judgment to prioritize competing demands and protect leadership’s time against strategic priorities.
  • Coordinate all travel, including flights, accommodations, ground transportation, and detailed itineraries, and troubleshoot changes in real time.
  • Schedule and orchestrate meetings, calls, and events across leadership, clients, partners, and internal teams, ensuring principals are fully prepared for every engagement.
  • Prepare briefing materials, agendas, and talking points ahead of key meetings so leadership walks in informed and ready.
  • Manage expenses, reimbursements, and other administrative workflows accurately and on time.
  • Serve as a trusted, discreet point of contact for leadership, handling sensitive information and communications with sound judgment.
Project Assistance & Follow-Through
  • Act as a project assistant for leadership, tracking commitments, deadlines, and action items across a broad portfolio and driving them to completion.
  • Own follow-up on behalf of executives, ensuring timely closure on tasks, decisions, and outstanding items after meetings and conversations.
  • Build and maintain systems that keep leadership on top of priorities, surfacing what needs attention and when.
  • Anticipate downstream needs and dependencies, flagging risks and bottlenecks before they become problems.
  • Coordinate across internal teams to move cross-functional initiatives forward on behalf of leadership.
Special Projects & Strategic Support
  • Support and manage special projects as assigned, bringing structure, planning, and momentum to firm priorities and one-off initiatives.
  • Translate leadership’s strategic goals into concrete plans, work streams, and deliverables.
  • Draft, edit, and prepare communications, documents, and materials on behalf of leadership.
  • Represent leadership’s interests and priorities professionally in interactions with internal and external stakeholders.
  • 2-3 years of professional experience in executive assistance & support, project management, operations, or a comparable role supporting senior leaders.
  • Demonstrated experience managing complex calendars, travel, and logistics for senior executives in a fast-paced environment.
  • Proven project assistance ability—tracking, prioritizing, and driving multiple work streams and commitments to completion with minimal oversight.
  • Exceptional organizational skills and attention to detail, with the ability to juggle competing priorities without dropping threads.
  • Strategic mindset with the ability to understand the firm’s mission and connect day-to-day work to larger goals.
  • Highly proactive—anticipates needs, takes initiative, and solves problems before being asked.
  • Excellent written and verbal communication skills, with the ability to draft polished, professional materials on behalf of leadership.
  • Sound judgment and discretion in handling confidential and sensitive information.
  • Diplomatic interpersonal skills and the poise to interact confidently with senior executives, clients, and high-levelexternal stakeholders.
  • Proficiency with Google Workspace and comfort adopting new tools and systems.
  • Flexibility to accommodate last-minute scheduling changes, urgent needs, and time-sensitive priorities.
  • Comfort working in a fast-paced environment where priorities and projects can shift quickly.
