DDN is seeking a seasoned Executive Assistant to support two of our most senior leaders, the Chief Legal Officer & General Counsel and the Chief People & Culture Officer, both based in New York.

This is not an entry-level seat. It is built for an accomplished executive assistant who has run point for C-level leaders and thrives supporting more than one  will report to the Executive Assistant Manager, partner directly with both executives, and step in to support other members of the leadership team as priorities require.

Responsibilities

  • Own and defend two complex, fast-changing calendars across multiple time zones, making real-time trade-offs on what earns each leader's time.
  • Manage inbound flow across email, scheduling, and requests, and triage what needs the principal, what you can handle yourself, and what can wait.
  • Prepare each leader for what is ahead with agendas, pre-reads, briefing notes, and the context they need to walk in ready.
  • Coordinate domestic and international travel end to end, and build itineraries that hold up when plans change.
  • Own expense processing, reconciliation, and the running list of deadlines and commitments both leaders are accountable for.

Meetings, communications, and follow-through

  • Plan and run logistics for leadership meetings, offsites, and cross-functional sessions, including board and committee touchpoints.
  • Draft, proof, and format correspondence, presentations, and documents to a standard you would be proud to put your name on.
  • Capture decisions and action items, then track them to closure so nothing falls through.
  • Act as a trusted point of contact between the two leaders and internal teams, external partners, candidates, advisors, and counsel.

Supporting the Legal function

  • Handle confidential legal and corporate materials with rigor, from contracts to board and governance documents to compliance records.
  • Coordinate with outside counsel, manage signature and execution workflows, and keep records organized and retrievable.
  • Support scheduling and logistics tied to board meetings, corporate governance, and legal deadlines where accuracy is non-negotiable.
  • Serve as the primary coordinator for outside counsel billing by administering the legal department’s invoice process, monitoring legal spend against budgets, partnering with law firms to ensure timely and accurate billing, preparing spend reports, and identifying opportunities to improve billing efficiency and cost management.

Supporting the People & Culture function

  • Support sensitive people processes with total discretion, from leadership hiring loops to organizational initiatives.
  • Help coordinate the culture, communications, and team programming the function drives across a global workforce.
  • Manage logistics for candidate interviews, onboarding moments, and leadership convenings.

Flex support across the leadership team

  • Step in to support other executives and visiting leaders as priorities shift, holding the same standard of judgment and discretion.
  • Partner with the Executive Assistant Manager and other assistants to keep the wider leadership team coordinated.
  • Take on special projects that make the executive team more effective.
