About the Position

Brooklyn Heights Synagogue (BHS) is seeking a full-time Religious School Administrator to support the daily operations of our vibrant Religious School and educational programs. The Religious School Administrator is the organizational center of the Religious School, ensuring that students, families, faculty, and staff have the support they need for our programs to run smoothly.

Reporting and working closely with the Director of the Religious School, this position combines strong administrative skills with excellent communication, thoughtful problem-solving, and a welcoming presence for our community.

Key Responsibilities Religious School Operations
  • Manage the day-to-day administrative operations of the Religious School.
  • Serve as the primary administrative contact for Religious School families and faculty.
  • Ensure classrooms and learning spaces are prepared, organized, and welcoming.
  • Oversee student enrollment, attendance, and record keeping through Shul Cloud, following up with families as appropriate.
  • Maintain digital student and program files.
  • Create annual calendars and coordinate classroom and program scheduling.
  • Coordinate faculty onboarding and assist with payroll administration through the synagogue’s payroll system.
  • Order office, classroom, and program supplies.
  • Research vendors and assist with purchasing and program logistics.
  • Support the Director of the Religious School with administrative projects and daily operations.
  • Serve as a liaison between the Religious School and other synagogue departments.
  • Provide administrative support for teen programming
Family Communication and Student Support
  • Serve as a point of contact for families, responding to questions with warmth, professionalism, and discretion.
  • Prepare and distribute regular communications to families.
  • Maintain accurate email distribution lists and contact information.
  • Welcome students each week and help ensure smooth arrival, dismissal, and authorized early pickups.
  • Handle confidential information with sound judgment and professionalism.
  • Provide support for B’Mitzvah students and families as needed
Programs and Events
  • Coordinate the administrative and logistical planning of Religious School programs and special events including holiday celebrations, family learning, and Shabbat dinners for student-led services.
  • Manage registrations and RSVPs.
  • Coordinate room reservations, setup, catering, audiovisual needs, and supplies.
  • Work closely with the Executive Director, Senior Rabbi, Director of the Religious School, and administrative staff to ensure successful program execution.

Qualifications Required
  • At least 2 years of relevant administrative, program coordination, or operations experience, preferably in a school, nonprofit, congregation, or other community-based organization.
  • Bachelor’s degree or equivalent professional experience.
  • Exceptional organizational skills and strong attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Strong interpersonal skills and the ability to build positive relationships with families, faculty, colleagues, and volunteers.
  • Demonstrated initiative, sound judgment, and the ability to work independently.
  • Professional discretion and the ability to maintain confidentiality.
  • A collaborative, flexible, and solutions-oriented approach.
  • Proficiency with Microsoft Office; comfort learning new software and database systems.
Preferred
  • Knowledge of Jewish traditions, rituals, and synagogue life or willingness to learn.
  • Experience working with children or families in a school, synagogue, camp, or youth program.
  • Experience with Shul Cloud, Paycom, Constant Contact, or similar administrative platforms.
  • Familiarity with Hebrew
Schedule

This is a full-time, year-round, in-person position.

Regular schedule (during the school year)

The regular work week is Sunday-Thursday (Monday-Friday in the summer.)
