OPERATIONS COORDINATOR
Process, Software & Administrative Support — Reporting to the COO

Salary Range: $75,000 – $85,000, based on experience

We're a New York City general contractor focused on delivering high-rise and mid-rise projects across the city. We work closely with clients, architects, and design teams from the ground up, known for hands‑on execution and strong project relationships. As our site operations continue to grow, we're building out our office team to keep pace.
ROLE OVERVIEWWe're hiring an organized, tech‑savvy Operations & Systems Coordinator to become the operational anchor for our COO and office team. As our site operations scale, this role ensures our software systems, documentation, and administrative workflows run smoothly and consistently. You'll take chaotic or manual processes and turn them into clear, repeatable systems, primarily through Procore, alongside the broader tools our office relies on day to day.
This is not a Project Manager or Field Superintendent role, and we're not looking for someone on that career track. No prior construction experience is required — we're looking for someone who's excellent at organizing systems, managing detail, and building process from scratch. We'll train the right person on Procore and industry terms.
WHAT YOU'LL DOOwn Procore document control — Serve as primary administrator for document control within Procore, including drawings, correspondence, and insurance documentation.
Manage drawings end to end — Process, upload, and quality‑check all drawings and revisions; troubleshoot plan errors with design professionals.
Integrate systems — Keep information moving smoothly between software platforms and internal channels, aligning plans, documentation, and field logs into clear digital workflows.
Build and document process — Spot gaps in how work gets done, draft clear step‑by‑step SOPs, and train the team to follow them.
Be the liaison — Act as the go‑between for internal teams, clients, design professionals, and vendors on documentation, submittals, and delivery milestones.
Support leadership directly — Support the COO and leadership team with document prep, file organization, status tracking, and day‑to‑day office coordination.
Tech‑savvy — You pick up new software quickly and enjoy being the person who organizes and administers it for a team.
Relevant experience — 3+ years in administrative support, operations coordination, or office management.
Process mindset — You default to building order — clear workflows, SOPs, and repeatable systems — rather than managing chaos ad‑hoc.
Communication — Clear, professional written and verbal communication, and comfort holding others accountable to a process.
Construction background — Not required. Procore experience is a plus but not expected — we'll train on the platform and the industry.
You'll work directly with the COO, shape how the office runs as the company scales, and build systems that stick — without needing a construction background to get started. If you love turning mess into structure, this is a role where that skill is the whole job.
