Position Overview

The Executive Assistant supports the Head of Hospitality and Head of Brand Merchandising - Bedding, Bath & Home Accessories, RL Home by managing calendars, communications, meeting preparation, travel, expenses, and day-to-day business priorities. This role requires strong judgment, discretion, organization, and follow-through, while helping coordinate priorities, prepare materials, and support effective execution across Home, Hospitality, Merchandising, and cross-functional teams.

Essential Duties & Responsibilities
  • Manage complex calendars, scheduling, travel, expenses, invoices, and administrative processes for both leaders.
  • Prepare agendas, presentations, briefing materials, leadership updates, meeting notes, and follow-up documentation with accuracy and polish.
  • Track priorities, deadlines, approvals, action items, and follow-ups across Hospitality, Brand Merchandising, and cross-functional partners.
  • Help gather, consolidate, and organize inputs from multiple teams to support meeting preparation, business updates, and leadership decision‑making.
  • Coordinate leadership meetings, team meetings, offsites, onboarding, recognition moments, team engagement activities, and special projects to ensure seamless execution.
  • Maintain organized files, trackers, contact lists, timelines, and planning tools to support efficient team operations and information sharing.
  • Assist with vendor, partner, and internal stakeholder coordination, including scheduling, documentation, invoice tracking, and timely follow-up on open items.
  • Support business planning and operating rhythms by organizing information, maintaining visibility to deliverables, and escalating needs or risks as appropriate.
  • Support clear communication flow across Home, Hospitality, and cross‑functional teams by helping organise updates, route information, and ensure key messages are shared with the right stakeholders.
  • Use sound judgment, confidentiality, and professionalism when managing communications, priorities, and stakeholder interactions.
Experience, Skills & Knowledge
  • 5+ years of experience supporting senior leaders in a fast‑paced, complex, preferably global organization.
  • Strong organization, follow‑through, attention to detail, and ability to manage competing priorities.
  • Strong written and verbal communication skills with the ability to create polished executive‑level materials.
  • Professional, discreet, collaborative, and able to communicate effectively across levels and functions.
  • Demonstrated ability to anticipate needs, problem‑solve independently, and follow ‑ through on details with minimal direction.
  • Comfortable working across multiple teams and priorities while maintaining flexibility, accuracy, and a service‑oriented mindset.
  • Advanced proficiency in Outlook, PowerPoint, Excel, Word, and Teams.
