The Administrative Assistant
- Root Farm is responsible to type and maintain correspondence, coordinate assigned clerical staff, if needed, attend committee meetings and take minutes, maintain filing system, generate reports and charts, process phone calls, assist in scheduling, route mail, requisition supplies and act as a program or department liaison, promote positive communications. In addition, the administrative assistant will be responsible for the development and implementation of a comprehensive volunteer program.

In addition, the administrative assistant will be responsible for the development and implementation of a comprehensive volunteer program.

Responsibilities
  • Type and maintain correspondence including letters, memos, contracts, forms, reports, logs, and charts as required by the program or department.
  • Coordinate program or department office support function; oversee work of assigned clerical staff as needed.
  • Attend committee meetings as requested, take minutes, and distribute.
  • Maintain filing system, update as needed to keep current.
  • Generate and maintain department or program specific reports, charts, and records as directed.
  • Process incoming telephone calls, refer to appropriate staff, take messages and respond to requests for information.
  • Assist in scheduling, which may include appointments, program or department trainings or meetings, and special events.
  • Record by date incoming mail, route, and distribute.
  • Research and requisition supplies and equipment, and verify delivery.
  • Act as liaison for the program; promote positive communications.
  • Establish a work environment that creates positive communication between supervisors and employees and assimilates new employees to the program’s culture, values and mission.
  • Ensure compliance with all pertinent government and agency regulations and operating standards.
  • Develop a comprehensive recruitment plan to attract a diverse cadre of volunteers to support agency programs and services.
  • Interviews, screens, and selects applicants based on skills, qualifications and appropriateness to the assignment, insuring that the agency’s needs and interests are top priority. Obtains references and medical clearances for each volunteer service, if required.
  • Develops and conducts a comprehensive volunteer training program.
  • Develops written policies and procedures governing volunteer service to the agency, including policy and procedure manual, volunteer handbook, and assignment guides.
  • Schedules volunteers based on program needs.
Qualifications
  • High School Degree or equivalent.
  • 3-5 years of related experience.
  • Must possess an ability to work with animals, specifically horses.
  • Must have a valid NYS Driver’s License.
