ABOUT THE ROLE AND OUR TEAM

As an Executive Assistant at The Knot Worldwide, you are a strategic extension of our leadership team, providing comprehensive high‑level support to our General Administration leaders: the Head of People, the Chief Financial Officer, and the Chief Legal Officer. Reporting to the SVP, Head of People, you will act as the operational anchor for the heart of our corporate functions.

Your mission is to enable high‑velocity day‑to‑day execution of your designated Executives. You will masterfully navigate complex information flows, anticipate leadership needs before they arise, and ensure flawless execution across various activities such as calendar management, global travel coordination, communication forums (e.g., all‑hands, business meetings), and more.

PRIMARY RESPONSIBILITIES
  • Strategic Time Management
    :
    Proactively own the Executive’s time, act as a doorkeeper, and ensure key priorities are met with readiness for Plan B and C.
  • Strategic Relationship Management
    :
    Facilitate productive connections, manage staff meetings, all‑hands, and priority business meetings, and identify key stakeholders.
  • Communication & Email Proxy
    :
    Manage executive email flows, sort, prioritize, and draft communications mirroring the leaders’ voice.
  • Global Travel Architecture
    :
    Own end‑to‑end domestic and international travel, including complex multi‑city itineraries, lodging, ground transport, and visa requirements.
  • Operational Support
    :
    Maintain organization charts, schedule senior‑level interviews, and oversee onboarding for new leadership hires.
  • Financial Administration
    :
    Review and process expense reports, purchase orders, and approvals using Navan, Brex, and Coupa.
  • Board & Prep Mastery
    :
    Prepare materials, agendas, and minutes for high‑level engagements, including Board of Directors meetings and All‑Hands.
  • Cross‑Functional Team Integration
    :
    Collaborate with the global Executive Assistant cohort and Chief of Staff to ensure synchronized operations and provide coverage during absences.
  • NYC Culture Carrier
    :
    Engage with Culture & Experience and Internal Communications to deliver experiences for leadership, employees, and external stakeholders.
  • AI Integration
    :
    Leverage Gemini, Claude, and ChatGPT to summarize information, draft content, and optimize administrative output.
THE SUCCESSFUL CANDIDATE
  • Experience
    : 6+ years supporting C‑suite leaders within a fast‑paced, global organization.
  • Timeliness, accuracy, judgement and discretion are critical skills and experiences.
  • Discretion
    :
    Impeccable history of handling highly sensitive legal, financial, and people‑related data.
  • Presence
    :
    Exceptional verbal and written communication skills with executive presence.
  • Problem Solving
    :
    Self‑starter with a consultative approach; provides solutions without being told.
  • Resilience
    :
    Maintains a calm, focused environment during rapid change or organizational stress.
  • Travel Expertise
    :
    Proven history of managing heavy, complex international travel with zero room for error.
  • Flexibility
    :
    Open to travel and occasional weekend work to match executives’ schedules.

    :
    Advanced proficiency in Google Workspace (Slides) and Slack.

WORK MODEL

This role is Together@TKWW‑eligible and based near one of our office hubs. You’ll be expected to work in the office as part of our hybrid work model.

Compensation and Benefits

Annual salary range: $108,850 — $186,600 USD. Starting pay is determined by location, education, experience, skills, and other qualifications.

Benefits include medical, dental, retirement, generous leave policies, flexible vacation, and generous parental leave.
