POSITION SUMMARY:
The Office Assistant is responsible for retrieving medical secretary voice messages and returning calls, scheduling appointments, directing calls to appropriate staff, setting up new patients, this includes new consults which consist of entering all patient demographic information prior to the office visit and mailing out a packet of paperwork for the patient to fill out prior to the scheduled visit, and working closely with the medical secretaries and staff.
This position will also scan medical records as needed.
DUTIES AND RESPONSIBILITIES:
- Responsible for answering patient phone calls, scheduling appointments, confirming appointments, and taking detailed and accurate information/messages.
- Sort, scan, and file a variety of medical records and information such as laboratory and pathology reports, operative notes, and discharge summaries into electronic patient medical records in appropriate sections.
- Processes incoming mail.
- Schedules pharmaceutical lunches.
- Assists with patient referral tracking and follow-up as necessary.
- Covers Front Desk (for all shifts) as needed.
- Covers Secretarial Department which includes answering phones, registering patients, making appointments, confirmation calls, faxing, obtaining medical records, mailing New Patient and Annual Wellness Visit paperwork, and obtaining incoming referrals for specialists at the office.
- May be required to provide administrative support to the Administrative Supervisor as needed, including filing, typing, etc
- Other duties as assigned.
EDUCATION & EXPERIENCE:
- Minimum of a High School diploma;
Associates Degree preferred. - 1 to 3 years relevant experience preferably in a healthcare environment.
- Electronic Medical Records experience required.
QUALIFICATIONS & REQUIREMENTS:
- Strong organizational skills; must be able to multi-task.
- Strong verbal and written communication skills.
- Must have excellent computer skills.
- Ability to work independently and collaboratively on assigned tasks and projects
