Olo Acupuncture is an acupuncture and wellness clinic in Manhattan's Chelsea neighborhood. Since 2011, our clinic has treated a wide range of patients and conditions in private rooms and a community setting.
We are currently looking for a friendly, motivated, and detail‑oriented individual to join our collaborative team of healthcare professionals. We prioritize diversity, seek those who align with our values, and encourage all to apply. This is a part‑time, W-2 position, with the potential to grow into a full‑time role.
Why this role mattersThe front desk at Olo Acupuncture sets the tone for professionalism and friendliness with both prospective and current patients alike. Front desk staff are also often the first to respond when things don't go as planned — being calm and gracious under pressure is vital and helps resolve issues as they arise.
ScheduleWe currently have three of the following four shifts available — Tuesdays, Thursdays, and Fridays 12–8 pm, and Saturdays 11 am–7 pm — which we may fill with one or two people depending on availability. Saturday coverage is our highest priority. Shifts are generally set, and consistency matters for our patients and practitioners. That said, our front desk team is supportive about covering and swapping shifts when something comes up.
Whatyou'll do
- Warmly greet patients in person and via phone
- Check in patients as they arrive
- Answer phone calls and promptly return voicemails and emails
- Ensure patient profiles are up to date and complete, including IDs, insurance cards, and any other required forms and information
- Help all patients feel comfortable and well cared for
- Educate new patients on our processes and answer general questions
- Check patients out, take payment, and schedule follow‑up appointments
- Coordinate with practitioners, communicate each patient's status, and help them stay on schedule
- Maintain our inventory of products and supplies
- Compassionate and professional communication — strong verbal communication with patients and team members, with the ability to write clearly and concisely
- A positive and team‑oriented mindset
- Comfort learning web‑based software quickly; our front desk uses Jane App, Google Workspace (Chat, Calendar, Docs, Sheets), and Help Scout
- The ability to maintain a clean and organized physical and digital space
- Reliable attendance and consistent follow‑through
- Self‑motivated
- Ability to give and receive feedback
- Willingness to learn enough about how insurance works to collect cards accurately and speak about coverage clearly and honestly with patients
- Prior front desk experience in a medical or wellness setting
- Familiarity with insurance cards, coverage, or benefits verification
- Conversational Spanish
- Personal experience with acupuncture or bodywork
- Job type:
Part-time (8 to 24 hours per week) - Starting wage is $21 per hour, up to $23 for candidates with relevant insurance or medical office experience
