Work Schedule: Full-time | 100% Onsite | Monday-Friday, 8:00 AM-5:00 PM (40+ hours/week) | Must be available for occasional evenings, weekends, and while the executive is traveling.

Job Description

The Executive Assistant will provide comprehensive business and personal support to the Chief Executive Officer while managing an ever-changing schedule, complex travel logistics, confidential communications, and high-priority initiatives. This role requires exceptional attention to detail, outstanding organizational skills, sound judgment, and the ability to remain calm and resourceful in an environment where priorities shift rapidly.

The ideal candidate is a proactive problem solver who anticipates executive needs, communicates with confidence and professionalism, and independently resolves challenges with minimal direction. This position requires flexibility, discretion, and availability outside of standard business hours as business needs arise.

Key Responsibilities

  • Manage a high-volume executive calendar with constantly changing priorities while ensuring optimal scheduling and time management.
  • Coordinate complex domestic and international travel arrangements, including commercial and private aviation, hotel accommodations, ground transportation, dining reservations, detailed itineraries, and contingency planning.
  • Serve as the CEO's primary point of contact by managing communications, screening requests, and acting as a trusted gatekeeper.
  • Anticipate executive needs by proactively identifying solutions, eliminating obstacles, and resolving issues before they escalate.
  • Prepare meeting agendas, presentations, executive reports, briefing materials, and other confidential business documents.
  • Handle highly confidential business and personal information with the utmost professionalism, discretion, and sound judgment.
  • Manage personal assistant responsibilities, including appointments, household coordination, gifting, reservations, errands, and special projects.
  • Liaise with senior leadership, investors, clients, vendors, and external business partners while maintaining exceptional professionalism.
  • Track action items, monitor deadlines, and ensure timely completion of executive priorities and commitments.
  • Manage multiple high-priority initiatives simultaneously while maintaining accuracy and attention to detail.
  • Remain available to support urgent business matters during evenings, weekends, and executive travel when necessary.

Qualifications

  • Bachelor's degree required.
  • 7-10+ years of Executive Assistant experience supporting C-suite executives in a fast-paced corporate or professional services environment.
  • Previous experience supporting CEOs or senior executives with extensive calendar management, travel coordination, and executive operations.
  • Experience with in professional services, financial services, commercial real estate, investment, or similarly demanding corporate environments is highly preferred.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Exceptional experience managing complex domestic and international travel logistics.
  • Strong organizational skills with the ability to manage multiple competing priorities under tight deadlines.
  • Demonstrated ability to maintain complete confidentiality while exercising sound judgment and professionalism.
  • Excellent written and verbal communication skills with a polished executive presence.
  • Proven ability to work independently, anticipate needs, and solve problems without requiring frequent direction.
  • Comfortable supporting an executive with demanding expectations while maintaining composure under pressure.
  • Flexible to work outside normal business hours, including occasional evenings, weekends, and travel support.
