Our client, a leading investment management firm in New York City, is seeking an experienced Executive Assistant to provide high-level support to two Executive Vice Presidents/Portfolio Managers. This is a highly visible role supporting senior investment professionals in a fast-paced, performance-driven environment.
The ideal candidate will have 5+ years of Executive Assistant experience within an asset management firm or hedge fund and a proven track record supporting Portfolio Managers, CEOs, CIOs, or other senior-level executives.
Responsibilities- Manage complex calendars, meetings, appointments, and scheduling for two Portfolio Managers
- Coordinate extensive domestic and international travel, including flights, hotels, car services, and detailed itineraries
- Anticipate executive needs and proactively resolve scheduling and logistical issues
- Coordinate meetings with senior management, investment teams, Board members, and other stakeholders
- Prepare presentations, reports, correspondence, and other materials using PowerPoint, Word, and Excel
- Maintain highly confidential information and communications
- Assist with investment team meetings, research materials, projects, and administrative initiatives
- Provide additional professional and personal administrative support as needed
- 5+ years of Executive Assistant experience supporting senior executives
- Experience with in equity asset management or a hedge fund is required
- Experience supporting Portfolio Managers, CIOs, CEOs, EVPs, or similar senior executives strongly preferred
- Bachelor's degree required with a minimum 3.0 GPA
- Exceptional organizational, communication, and time-management skills
- Strong experience managing complex calendars and executive travel
- Proficiency in Microsoft Word, PowerPoint, and Excel
- Fact Set experience is highly preferred
- Strong knowledge of and interest in financial markets and investments
- Ability to work effectively in a fast-paced, demanding environment
- Location: New York City
- Schedule: Initially 5 days per week onsite; expected to transition to Monday/Friday remote and Tuesday-Thursday onsite
- Hours: Approximately 8:00 AM-6:00 PM ET
- Contract: 3-6 months with potential to convert to permanent
- Compensation: $45/hour during the contract period; permanent base salary range of $,000
- Interview Process: Approximately 3–4 rounds
