We are a plaintiff-side employment discrimination firm seeking a highly organized, proactive Legal Secretary to support a Partner with a high-volume federal and state litigation practice. This role is ideal for someone who thrives in a fast-paced environment, enjoys building structure out of complexity, and takes pride in keeping a litigation practice running seamlessly.
The Legal Secretary will serve as the central coordinator for the Partner’s daily schedule, internal workflow, and external communications. The ideal candidate understands that effective time management in a litigation practice is both strategic and operational.
Key Responsibilities Calendar & Schedule Management- Manage and optimize the Partner’s calendar across multiple courts and jurisdictions
- Coordinate court appearances, conferences, mediations, depositions, client meetings, and internal case strategy sessions
- Proactively identify scheduling conflicts and recommend efficient time allocations
- Build structured daily and weekly schedules to maximize productivity
- Coordinate travel arrangements when necessary
- Track deadlines, conferences, and key litigation milestones
- Liaise with courts, mediators, opposing counsel, and clients regarding scheduling
- Coordinate preparation timelines for hearings, depositions, and filings
- Organize internal meetings and ensure appropriate materials are prepared in advance
- Assist in prioritizing matters based on urgency and court deadlines
- Streamline appointment processes and standardize scheduling procedures
- Help implement systems that improve time efficiency and task management
- Serve as a professional point of contact for clients and external parties
- Schedule and confirm client meetings and calls
- Maintain discretion and confidentiality at all times
- Prior experience as a legal secretary or executive assistant in litigation (employment law preferred)
- Strong familiarity with federal and state court scheduling practices
- Exceptional organizational and time-management skills
- Ability to manage high-volume scheduling with precision
- Strong written and verbal communication skills
- High degree of discretion and professionalism
- Proficiency in Microsoft Office and calendaring systems
- Anticipates needs before they arise
- Calm under pressure and deadline-driven
- Detail-oriented without losing sight of big-picture priorities
- Process-minded and comfortable suggesting efficiency improvements
