The Workplace Services Coordinator serves as the primary onsite resource supporting day-to-day workplace operations for Wipro's New York office. This position bridges traditional office services and office management. It does not carry full Office Manager responsibility, but it requires someone capable of independently coordinating workplace needs, maintaining office standards, resolving routine issues, and ensuring requests are followed through to completion. The Workplace Services Coordinator will work closely with Opensity account leadership and Wipro stakeholders while providing hands-on support to employees, visitors, vendors, and building partners.
Schedule:
Full-Time, Monday-Friday, 7:30am - 4:30pm
- Coordinate daily workplace and office services activities
- Serve as an onsite point of contact for routine workplace needs and operational requests
- Support employees, visitors, vendors, and internal stakeholders
- Monitor office conditions and proactively identify issues requiring attention
- Coordinate conference rooms, meetings, workplace events, and hospitality needs
- Manage office supplies, inventory, deliveries, and replenishment
- Coordinate vendor visits, building access, and service requests
- Support Certificates of Insurance (COIs) and vendor-access requirements after training
- Submit, monitor, and follow up on facilities and workplace service requests
- Coordinate with building management, Facilities, IT, and other support partners as needed
- Support office moves, seating requests, and workspace changes
- Assist with workplace communications and employee-facing updates
- Maintain operational trackers, records, reports, and documentation
- Escalate issues appropriately and ensure follow-through through resolution
- Provide reception and visitor support when needed without functioning solely as a front-desk receptionist
- Support special projects and evolving workplace needs
- 2-4 years of workplace services, office coordination, facilities support, hospitality, administrative, or related corporate experience preferred
- Strong organizational skills with demonstrated ownership and follow-through
- Professional communication and client-service skills
- Comfortable interacting with employees, vendors, building management, and leadership
- Ability to independently manage multiple priorities in a fast-paced environment
- Strong problem-solving skills and willingness to take initiative
- Proficiency with Microsoft Office and workplace technology
- Experience coordinating vendors, facilities requests, meetings, or office operations preferred
- Reliable, accountable, and comfortable working with limited day-to-day supervision
- Able to recognize when an issue can be resolved independently and when escalation is required
- Ability to lift or move 40 lbs. or greater
- Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
- Ability to walk, bend, kneel, stand or sit for an extended period of time
This is not a traditional Office Manager position and does not carry overall account-management responsibility. Opensity's Client Relations Manager retains responsibility for account oversight, client partnership, personnel management, and broader operational governance. It is also not a reception-only position. The Workplace Services Coordinator is expected to provide hands-on onsite ownership of routine workplace operations and ensure that day-to-day needs are addressed efficiently and professionally.
