Sid Jacobson JCC is a dynamic, multi-service community organization serving thousands of individuals and families across Long Island. Our work spans health and wellness, education, social services, arts and culture, youth and family programming, Jewish life, and community engagement.

The Role

We’re looking for an exceptional Executive Assistant to work closely with our CEO and become an important part of how our executive office runs.

The CEO will be your primary focus. You’ll manage his calendar, help him stay ahead of meetings and commitments, prepare materials, track follow-up, coordinate occasional travel, and keep the many moving pieces of a very busy schedule organized. You’ll work closely with our COO as well and provide support to other members of our executive team.

You’ll also have significant interaction with our Board of Directors, coordinating meetings and materials, communicating with Board members, taking minutes, and making sure decisions and follow-up don’t get lost.

This is a role for someone who likes being close to the action and takes real satisfaction in making things work. Our days move quickly, plans change, and there are a lot of competing priorities. You need to be able to see what matters, adjust when something changes, and keep everything else moving.

Technology should come naturally to you. You should be comfortable learning new platforms, troubleshooting problems, using technology to stay organized, and finding smarter ways to manage information and get things done.

What You’ll Do

· Manage the CEO’s calendar, meetings, commitments, materials, and follow-up

· Provide ongoing scheduling, coordination, and administrative support to the COO

· Support other members of the executive team with scheduling, meetings, and materials

· Coordinate Board and committee meetings from scheduling through follow-up

· Prepare and distribute Board materials, take accurate minutes, and maintain governance records

· Communicate directly with Board members and coordinate with senior leadership

· Coordinate occasional travel and meeting logistics

· Prepare correspondence, presentations, reports, and other materials

· Track decisions, deadlines, commitments, and next steps

· Use technology to keep information organized and improve how work gets done

· Follow up across the organization to keep priorities moving

· Step into special projects and unexpected needs when they come up

Who We’re Looking For

You’re exceptionally organized and have strong follow-through. You pay attention, pick things up quickly, and can keep track of a lot without needing someone to constantly remind you what comes next.

You’re polished and personable and know how to work with senior leaders and Board members. You’re comfortable with different personalities, communicate well, and have the judgment to know when something needs your attention and when something needs to be escalated.

You’re also resourceful. When you don’t know something, you figure out where to find the answer. When something isn’t working, you try to solve it. And when you see a better way to organize or handle something, you speak up.

Most importantly, you understand trust. You’ll have access to confidential information, sensitive conversations, and things that are simply not yours to share. Discretion isn’t just a bullet point in this job. It’s essential.

Your Background

This is not an entry-level role, but there isn’t only one background that could work.

You may be an experienced Executive Assistant who genuinely enjoys this work and wants to become a trusted partner to a CEO and leadership team.

You may also be earlier in your career with strong experience in executive support, administration, Board support, project coordination, or another role that has required significant organization, judgment, discretion, and responsibility.

For someone earlier in their career, this is an unusual opportunity to work closely with a CEO, COO, executive team, and Board and get a firsthand look at how a large nonprofit operates and how decisions get made. Over time, there may also be opportunities to build your career in other areas across the JCC.

Experience in a JCC, Jewish communal organization, nonprofit, or other mission-driven environment is a plus, but it isn’t required.

Salary: $65,000–$75,000 annually, commensurate with experience.
