Community Healthcare Network is seeking for a full-time Coordinator for the Family Medicine Residency Program who under the leadership and supervision of the Family Medicine Residency Program Director, will provide administrative and operational support to the Family Medicine Residency Program and Sponsoring Institution.
The coordinator works alongside the Administrator, Family Medicine Residency Program, with day-to-day program administration, scheduling, communications, educational activities, recruitment, resident and faculty support, data management, event logistics, and document organization. The position works closely with residents, faculty, program leadership, administrative staff, and other departments to facilitate efficient program operations and support compliance with established program and institutional processes.

DUTIES AND RESPONSIBILITIES Residency Application and Recruitment Process:- Responsible for complete and accurate program information updates to the residency recruitment brochure and resident handbook
- Verifies minimum requirements/criteria for candidate interview consideration; preliminary review of candidate files to establish level of qualification.
- Organizes selected candidate interview sessions, including the recruitment and assignment of faculty members.
- Conducts interview evaluation program to assist in the final ranking of program applicants.
- Submits an accurate final ranking list for the National Residency Matching Program.
- Helps coordinate orientation for new residency appointees.
- Generates CHN residency contracts
- Monitors ongoing program expenditures, compiles routine financial sheets, and flags variances to streamline the budget management process for leadership.
- Documents residents’ records for the maintenance of current professional certification and licensure (i.e., BLS, ACLS, ATLS, permanent M.D. and D.O.)
- Creates and implements annual resident rotation schedule in compliance with all educational experience requirements mandated by the ACGME, AOA, RRC and OPTI, including the appropriate assignment and arrangement of faculty preceptorship.
- Responsible for assignment of all specialty and subspecialty rotations, including administration of arrangements and requirements necessary for outside rotations.
- Develops and implements private office assignment schedule
- The coordinator will provide administrative support working closely with faculty in managing lecture schedules, logistics, and track attendance and evaluation data.
- Provides support to the Administrator with statistical reports analyzing resident progression in program requirements.
- Monthly night/weekend on-call schedules while maintaining compliance with the mandated regulations regarding resident working hours, distribution of monthly resident and student meal allowances.
- Coordinates departmental research projects, including maintaining and updating departmental lists for faculty and residents.
- Prepares evaluations and maintains the educational progression of residents in compliance with national requirements, including residents’ evaluations of the residency program.
- Tracks annual resident vacation and/or conference requests.
- Administration of assignments for rotations of subspecialty residents and medical students; include documentation of requirements, assurance of appropriate levels of supervision and evaluation, arrange housing requirements and meal allowances, as well as the creation of appropriate on-call assignments.
- Schedules all resident conferences and educational activities
- Responsible for the maintenance of all educational program documentation.
