Description

The part-time Program Coordinator is responsible for managing the daily operations of the doctoral program and serving as the primary liaison for its various constituents, including faculty, students, alumni, applicants, prospects, and university staff. The administrative tasks required to successfully manage the position are divided into three core domains: resources/technology, university procedures, and program-specific administration.

Position Duties
  • Serving as the initial point of contact for inquiries. The part-time coordinator must log communication details into the applicant database, guide prospects through Application Parts A and B, collect supplementary items (resumes, $75 fees, official transcripts, and recommendations), and maintain biographical files.
  • Reviewing completed applications, coordinating interview schedules on the director's calendar, evaluating candidates alongside the director, and formally processing acceptance or rejection decisions.
  • Facilitating student course registrations, manually overriding Banner restrictions when necessary, tracking students maintaining matriculation ($250 fee), and verifying that student files contain all mandated documentation.
  • Administering the written and oral exam cycles twice a year (January and September). Tasks include ordering exam rooms eight weeks out, collecting faculty questions, managing the secure testing software environment (Respondus), monitoring students during the 4-to-6-hour written tests, audio-recording the 2.5-hour oral components, and filing final evaluation sheets.
  • Creating committee appointment paperwork and scheduling two formal presentation meetings (Proposal Approval and Dissertation Defense) by tracking calendar availability across five distinct committee members.
  • Filing Independent Contractor and Vendor Request forms to process honoraria payments for committee members. Additionally, the coordinator reviews student folders for graduation clearance and coordinates the delivery of finalized dissertations to the university library for binding.
  • Managing the monthly on-campus seminar days where students attend full-day classes. The part-time coordinator books the entire 15th floor of 163 William Street, manages catering and counts with the Downtown Conference Center, submits help desk tickets for media equipment, and ensures building security unlocks the facilities.
  • Partnering with the program director to review, correct, and distribute upcoming semester course schedules with the office of academic scheduling and department chairs.
  • Tracking the department budget utilizing university systems to process purchase orders, handle document services (copying, printing, secure shredding), and oversee office supply replenishment via eProcurement.
  • Performs other such duties as may be assigned from time to time.
Supervision Exercied

Training and overseeing graduate and student assistants who perform routine clerical tasks.

Work Hours

Exact hours to be determined with supervisor; generally up to 20 hours per week.

Requirements
  • Must be proficient in MS Office, internet applications, detail-oriented, and able to handle multiple projects in a fast-paced environment.
  • Excellent written and oral communication, interpersonal, and organizational skills are essential.
  • Prior work experience in a University and/or administrative position preferred.
