Position Summary
The OSSP Coordinator provides clerical support to supervisors of school psychologists and OSSP leadership. The role will serve as a citywide role with a priority for borough supports as assigned by the Office of Supervisor of School Psychologist. The primary responsibility of the position is to review data related to open cases for students referred to special education and to support timely completion of the evaluation process through Request for Assistance (RFA) in SESIS.
The RFA process includes but is not limited to assignment of cases to redeployment, per-session, contracting cases out for assessment, and case assignment to the respective KIP school psychologist. As part of the OSSP team, the incumbent provides support, guidance and training to school based support team administrative staff. The role performs related work to supporting the operational needs of the OSSP.

Key RelationshipsSupports the Office of Supervisors of School Psychologists.
Responsibilities- Serve as clerical support to Supervisors of School Psychologists in managing all case related responsibilities associated with requests for Independent Educational Evaluations (IEEs), and act as a liaison among parents, school staff, service providers, and other stakeholders to ensure timely communication and responses throughout the evaluation process.
- Outreach to New York City Public Schools (NYCPS) schools, parents and agencies as it relates to the special education evaluation process in District 1 to 32 and District 75 schools.
- Communicate and report data on agency evaluation compliance to respective district supervisors.
- Work closely with the Office of Related Services to ensure prioritization of cases that should be moved to the IEP meeting process stage.
- Browse and enter student specific data in the computerized tracking system.
- Conduct administrative tasks such as:
Completing forms, mailing notices and forms to parents, duplicating records and reports, filing and maintaining confidential student files, scheduling assessments and IEP meetings, and responding to inquiries. - Assist per-session sites with clerical tasks including scheduling cases, updating logs, and family outreach.
- Support at all stages of implementation of key NYCPS communications and public outreach initiatives.
- Compile data and create data worksheets for tracking case completion and assisting in case management.
- Reconcile computerized reports to support district compliance.
- Retrieve and transmit student records and files. Coordinate procurement tasks for the OSSP, including initiating purchase requests, tracking orders, and ensuring timely delivery of materials and services needed for office operations.
- Maintain accurate records of purchases and reconcile procurement documentation in alignment with NYCPS financial and purchasing policies.
- Support payroll processes for per-session and timekeeping, by collecting timesheets, verifying service logs, and ensuring timely submission for payment.
- Monitor payroll discrepancies and collaborate with central offices to resolve issues related to compensation, timekeeping, or service authorization.
- Ensure compliance with NYCPS procurement and payroll procedures, maintaining confidentiality and accuracy in all financial workflows.
