Our client is looking for a temp to perm Executive Assistant/Office Manager:
This is a temp-to-perm opportunity for someone who enjoys being hands-on, thrives in a fast-paced environment, and can seamlessly balance executive support with general office administration. The ideal candidate is detail-oriented, resourceful, professional, and comfortable anticipating needs and taking ownership of tasks from start to finish.
Executive Support- Manage and maintain a busy executive calendar, including scheduling, rescheduling, and coordinating meetings across multiple time zones.
- Coordinate domestic and international travel, including flights, hotels, transportation, and detailed itineraries.
- Prepare and submit expense reports and track receipts and reimbursements.
- Assist with meeting preparation, including agendas, materials, conference rooms, and logistics.
- Coordinate internal and external meetings and ensure all necessary arrangements are in place.
- Handle confidential and sensitive information with discretion.
- Provide general administrative support and proactively anticipate the executive's needs.
- Support the day-to-day administrative operations of the New York office.
- Manage office supplies, equipment, deliveries, mail, and general office needs.
- Coordinate with building management, vendors, and service providers as needed.
- Help maintain an organized, professional, and welcoming office environment.
- Assist with office events, team meetings, and other administrative projects.
- 3+ years of experience in an Executive Assistant, Administrative Assistant, Office Administrator, or similar role.
- Excellent organizational and time-management skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- Professional, polished, and personable demeanor.
- Highly proactive with the ability to anticipate needs and work independently.
- Comfortable managing multiple priorities in a fast-paced environment.
- Strong judgment and discretion when handling confidential information.
- Proficiency with Microsoft Office and/or Google Workspace.
- Ability to coordinate calendars, travel, meetings, and administrative tasks efficiently.
- Fluency in both English and Spanish is a must.
