JOB SUMMARY:

The Training Assistant provides administrative and operational support to the Personal Care Aide (PCA) and Home Health Aide (HHA) Training Programs. This position is responsible for coordinating training records, maintaining regulatory documentation, supporting student onboarding and enrollment activities, scheduling classes, preparing training materials, and assisting with program compliance requirements. The Training Assistant plays a key role in ensuring the efficient operation of the training program and supporting the successful certification of caregivers.

New York State requires approved PCA and HHA training programs to maintain training records, schedules, competency documentation, and certification records.

RESPONSIBILITIES:

Program Administration
  • Assist with the day-to-day administrative operations of the PCA and HHA Training Programs.
  • Coordinate trainee enrollment, registration, and onboarding activities.
  • Maintain student files and training records in accordance with agency and regulatory requirements.
  • Prepare and distribute training materials, manuals, handouts, and program documentation.
  • Track attendance, testing results, competency evaluations, and program completion status.
  • Ensure all required trainee documentation is complete and filed appropriately.
  • Prepare certificates and graduation documentation upon successful completion of training.
  • Maintain training databases, spreadsheets, and reporting tools.

The Training Assistant is expected to assist withall Training Program classes and activities, including:

  • PCA Training
  • HHA Training
  • Annual Skills Competency Assessments
  • In-person In-Service training
  • Health Evaluations, as applicable
Scheduling & Coordination
  • Schedule training classes, skills labs, competency evaluations, and clinical experiences.
  • Coordinate classroom space, equipment, supplies, and technology needs.
  • Communicate class schedules, updates, and program requirements to trainees and instructors.
  • Assist with coordinating instructor schedules and training calendars.
  • Support orientation and onboarding activities for new caregivers.
Compliance & Recordkeeping
  • Maintain training records in accordance with Department of Health and agency requirements.
  • Assist with audits and regulatory reviews by organizing and producing required documentation.
  • Monitor expiration dates and training completion requirements.
  • Support the tracking of annual in-service and continuing education requirements.
  • Assist with reporting related to training program participation, completion, and certification status.
