Job Description
We are recruiting for a Front Desk Receptionist to join our vibrant Med Spa team! In this role, you'll be the first face our clients encounter — setting the tone for their entire visit with warmth, professionalism, and polish. You'll contribute to our fast-moving office with exceptional organizational and communication skills, helping ensure every client interaction reflects the highest standards of our brand.
This is a part-time position, ideally 1–2 days per week between Monday and Saturday, with some flexibility around scheduling. There is potential for additional days for the right candidate as our needs grow.
Familiarity with a Med Spa, dental office, or similar medical/aesthetic setting will make you a standout candidate!
What You'll Do— Key Responsibilities
- Client Check-In/Check-Out: Greet clients warmly upon arrival and manage a smooth, efficient check-in and check-out process.
- Phone & Email Management: Answer and route incoming calls, respond to emails, and schedule/confirm appointments with excellent communication skills across all channels.
- Scheduling & Calendar Management: Coordinate the daily schedule across multiple providers and treatment rooms, balancing bookings, walk-ins, and last-minute changes.
- Payment Processing: Process payments accurately, handle billing questions, and maintain organized, up-to-date financial records.
- Patient Charts & Records: Maintain accurate and confidential patient charts and intake forms, ensuring all documentation is complete and compliant with privacy standards.
- Multitasking in a Fast-Paced Environment: Juggle front-desk duties, support clinical staff, and problem-solve on the fly, all while keeping the front office running smoothly.

Experience:
Maintain a clean, welcoming, and organized reception area that reflects a leading wellness and beauty brand. - Team Support: Communicate effectively with providers and support staff throughout the day to keep operations coordinated and clients informed.
- Experience: Prior experience in professional office reception, administrative support, or customer service preferred. Experience in a Med Spa, dental office, or other medical/aesthetic setting is a major plus.

Excellent verbal and written communication, with the ability to interact comfortably and professionally with clients, providers, and team members. - Organization & Attention to Detail: Strong multitasking abilities and high attention to detail, particularly when processing payments and maintaining patient charts.
- Professional Presentation: Polished appearance and demeanor aligned with a leading wellness and beauty brand.
- Composure Under Pressure: Punctuality, strong time management, and the ability to stay composed and solutions-oriented in a fast-paced environment.
- Tech Comfort: Comfortable learning scheduling and payment software; experience with medical, dental, or Med Spa-specific practice management systems is a plus.
- Team Player: Able to work effectively both independently and as part of a team, with a proactive, can-do attitude.
