Club Overview

Founded in 1844, the New York Yacht Club is dedicated to attracting and bringing together a dedicated group of yachting and naval members to share and foster their interest in yachting and yacht racing. The Club maintains two clubhouses in Midtown Manhattan and Newport, R.I. Member amenities include events, dining, guest rooms, private catering, moorings and dock services. New York Yacht Club is one of the oldest private clubs in the country.

The Club has a rich history with the America’s Cup, and today hosts the premier Corinthian yachting competition, the biennial Rolex New York Yacht Club Invitational Cup.

Job Overview

The Membership Secretary and Executive Administrator serves as the principal administrator for governance operations, committee administration, and executive support functions of the Club Secretary and General Manager. The position acts as a central point of coordination among the Board of Trustees, Executive Committee, Club Committees, members, Club Executives, and affiliated organizations.

The Membership Secretary and Executive Administrator independently manages multiple governance processes throughout the year, ensuring compliance with Club bylaws, maintaining official records, coordinating committee operations, and supporting executive leadership in the administration of the Club.

Preferred Qualifications
  • Five or more years of supporting senior executives, boards or committees
  • Experience with in a private club, hospitality, nonprofit, university, association or professional services environment
  • Exceptional written and verbal communication skills
  • Outstanding organizational and project management ability
  • Ability to maintain confidentiality
  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams is required. The successful candidate will regularly manage executive calendars, produce reports, coordinate meetings and prepare governance materials using Microsoft 365.
  • Maintain committee and governance information within the Club’s membership database and generate reports supporting governance, committee administration and executive decision-making.
  • Experience preparing meeting agendas and minutes
  • Experience maintaining governance records
  • Ability to manage multiple deadlines simultaneously
  • Ability to collaborate with colleagues across all club departments, including food and beverage, hotel, sailing office and administrative offices.
Essential Duties And Responsibilities Governance & Committee Administration
  • Provide intensive administrative support to the Executive Committee, Board of Trustees, and General Manager.
  • Maintain comprehensive records for approximately 15 standing committees and 15 special committees.
  • Maintain historical committee records and archives
  • Track committee appointments and term expirations
  • Coordinate annual committee appointment process
  • Coordinate committee meetings, including scheduling, meeting logistics, agenda preparation, report distribution, and recordkeeping.
  • Prepare meeting materials, presentations, minutes, attendance records, quorum verification, and follow-up communications.
  • Publish required notices of meetings, officer nominations, member delinquency notices, and other governance communications in accordance with Club rules and bylaws.
