Overview

Our client is seeking a highly organized and proactive Investor Relations Assistant to support a fast-paced Investor Relations and Business Development team. This role will be responsible for coordinating daily administrative operations, managing complex scheduling, and ensuring seamless support for client-facing professionals. The ideal candidate will have 2-3 years of experience supporting an Investor Relations, Business Development, or Sales team within financial services.

Key Responsibilities

  • Manage complex calendars across multiple stakeholders, scheduling internal and external meetings.
  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, and detailed itineraries.
  • Process and reconcile expense reports in a timely manner.
  • Assist with preparing meeting materials, presentations, and investor-facing documentation.
  • Coordinate conference registrations, roadshows, and investor events.
  • Maintain CRM and investor databases, ensuring information remains accurate and up to date.
  • Track meeting activity and support follow-up communications with investors and prospects.
  • Handle incoming inquiries and act as a key point of coordination for the Investor Relations and Business Development teams.
  • Support ad hoc projects and administrative initiatives as needed.

Qualifications

  • Bachelor's degree preferred.
  • 2-5 years of experience supporting an Investor Relations, Business Development, Client Relations, Sales, or Investment team within financial services.
  • Strong calendar management and travel coordination experience.
  • Experience processing expense reports and managing administrative workflows.
  • Exceptional attention to detail and organizational skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.
  • Experience using CRM platforms such as Salesforce is a plus.
  • Ability to thrive in a fast-paced, high-touch professional environment.
