Executive Assistant to CEO & CTO / Office Manager | AI Healthcare Startup | NYC
We are working with a rapidly growing AI healthcare startup that recently raised its Series B and is looking to hire an Executive Assistant / Office Manager to support its CEO and CTO and help run its NYC office.
The company is currently around 25 employees and expects to roughly double in size over the next several months, so this is a really exciting time to join. We're looking for someone who wants to be part of that growth and is excited by a role where no two days will look exactly the same.
This is a combination of Executive Assistant, Office Manager, and some light personal support. You'll work closely with the CEO, CTO, and Chief of Staff and have a lot of visibility across the company.
What you'll be doing:- Own calendar management for the CEO and CTO, including protecting focus time, prioritizing meetings, and proactively resolving conflicts
- Coordinate domestic and international travel and make sure the executives have everything they need before meetings
- Help manage the day-to-day office and create a welcoming environment for employees, candidates, customers, and investors
- Coordinate team dinners, company events, and offsites
- Help support an office move
- Manage office supplies, snacks, vendors, deliveries, and general office needs
- Assist with expenses, documents, presentations, and ad hoc projects
- Provide occasional light personal support when needed—think grabbing lunch on an especially busy day, reservations, or a last-minute pickup
Someone who is hungry, organized, curious, and incredibly resourceful
Someone who has worked in a fast-moving environment and naturally takes ownership.
2–4 years of administrative, EA, or office management experience
Startup, technology, finance, or another fast-paced environment is ideal
You should be someone who:- Is proactive and anticipates what needs to happen next
- Is comfortable supporting two executives with very different working styles
- Has strong calendar and travel coordination experience
- Communicates professionally with senior executives, candidates, customers, and investors
- Is comfortable wearing multiple hats and doesn't get hung up on whether something is technically "your job"
- Is highly organized but flexible when priorities change
- Is comfortable with Google Workspace, Slack, and other modern productivity tools
- Is genuinely interested in AI and how it can make you better at your job
