About the Role:

We’re looking for a highly organized, proactive, and hands‑on Office Manager to own the day-to-day operations and employee experience of Nimble’s New York office.

This role is ideal for someone who enjoys creating a smooth, welcoming, and well-organized workplace, takes ownership, notices the small details, and is comfortable managing multiple operational needs independently.

This is a 50% part-time position, working on‑site from our New York office on Mondays, Tuesdays, and Thursdays.

What You’ll be Doing:

Office Operations & Administration

  • Own the day-to-day operations of the New York office and ensure everything runs smoothly.
  • Manage ongoing office payments and administration, including rent, utilities, vendor invoices, and credit authorization forms.
  • Work closely with building management and external vendors, including handling maintenance issues, coordinating repairs, and scheduling technicians.
  • Partner with the Finance and Payments teams on company credit cards, expenses, and invoice submissions.
  • Manage incoming and outgoing mail and shipments, including packages for employees, customers, conferences, and company activities.
  • Coordinate employee business travel and hotel bookings as needed.
  • Manage office inventory, including snacks, food, office supplies, and other day-to-day needs.
  • Manage technical inventory, including laptops, accessories, and other office equipment.
  • Maintain and continuously improve the office environment, including organization, office design, and overall look and feel.
  • Manage vendors, service providers, and recurring operational needs.
  • Identify operational gaps and proactively improve office processes.

Employee Experience

  • Own key employee experience touchpoints within the New York office.
  • Coordinate onboarding logistics and ensure new employees have a smooth and welcoming first‑day experience.
  • Manage birthdays, employee milestones, celebrations, gifts, and other important employee moments.
  • Support offboarding logistics when relevant.
  • Handle individual employee needs related to the office and workplace.
  • Serve as the go‑to person for employees regarding office‑related matters.

Internal Events & Culture

  • Plan and manage the full logistics of major annual company events, including offsites, SKO, and other flagship gatherings.
  • Organize recurring team activities such as team lunches, seasonal Happy Hours, birthdays, celebrations, and social events.
  • Coordinate vendors, venues, catering, transportation, equipment, and other event‑related logistics.
  • Support initiatives that strengthen company culture and the overall employee experience.
What You Should Have for the Role:
  • Previous experience in office management, workplace operations, administration, employee experience, hospitality, or a similar role.
  • Strong organizational and operational skills with excellent attention to detail.
  • Ability to independently manage vendors, logistics, invoices, expenses, and multiple priorities.
  • Proactive, hands‑on, and solution‑oriented approach.
  • Strong interpersonal and communication skills.
  • High level of ownership, reliability, and follow‑through.
  • Service‑oriented mindset and genuine care for employee experience.
  • Comfortable working in a fast‑paced startup environment.
  • Experience organizing company events is a strong advantage.
