Job Overview
Blackstone Real Estate is seeking a highly organized Administrative Assistant to support the Office of the Head of Blackstone Real Estate. This role partners with the senior-level Executive Assistant, providing essential administrative, expense, and event‑planning support to ensure smooth day‑to‑day operations in a fast‑paced environment.
Responsibilities- Administrative & Executive Support:
- Assist with calendar management, meeting coordination, and travel arrangements as directed.
- Provide support on ad hoc projects and special initiatives for the leadership team.
- Handle sensitive and confidential information with discretion.
- Expense Management (Primary Owner):
- Prepare, submit, and track expense reports accurately and on time.
- Partner with Finance and internal stakeholders to resolve expense‑related questions or discrepancies.
- Event Planning & Coordination (Primary Owner):
- Plan and coordinate internal and external events (leadership meetings, team offsites, town‑halls, firm‑sponsored functions).
- Manage logistics such as venue selection, catering, travel coordination, materials, and on‑site support.
- Track event‑related expenses and support post‑event reconciliation.
- Travel Arrangements and Planning (Primary Owner):
- Coordinate domestic and international travel arrangements for the Head and related leadership.
- Book flights, hotels, ground transportation, and visas in adherence to firm policies.
- Prepare detailed itineraries, confirm logistics, and proactively manage schedule changes.
- Preferred Bachelor’s degree.
- 5+ years of administrative or executive support experience in financial services, real estate, or a similar dynamic environment.
- Experience with expense management (preferably Concur) and event planning.
- Exceptional organizational skills, strong attention to detail, and ability to manage multiple priorities independently.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
- Professional presence, sound judgment, and discretion with senior‑level leadership.
Expected annual base salary range: $70,000 – $130,000.
Additional compensation includes discretionary bonuses and potential equity awards.
