Job Description:

The Academic Support & Access Programs department at Farmingdale State College oversees multiple programs devoted to providing underrepresented students with the needed support, resources and opportunities to meet their academic and pre-professional goals. The department currently seeks a Staff Assistant to provide support for the ACE, CSTEP, & TRIO programs.

The Staff Assistant will assist with office management and help ensure that all internal policies and procedures are followed in relation to new hire procedures, purchasing, and accounts payable through the timely and accurate submission of related documents and tracking of expenditures. Additionally, the Staff Assistant will provide administrative support for coordination of special projects and events, staff and student outreach, data tracking, and completion of mandatory reports.

Specific responsibilities will include:

  • Manage daily office operations including addressing all initial program-related inquiries, conduct outreach to students and various constituents, and providing general office support.
  • Assist with the planning, implementation and assessment of student meetings, workshops and special events.
  • Create and maintain student participant databases and assist with tracking student outcomes and engagement.
  • Assist with the development of student resource guides to increase student awareness and pursuit of available resources.
  • Serve as liaison to the Office of Sponsored Programs Administration to facilitate communication and compliance of all policy and procedures for program operations, human resources and accounts payable.
  • Oversee collection and submission of documentation related to hiring and payroll including new hire paperwork, time and attendance reports, and staff change forms.
  • Assist with purchasing and accounts payable procedures to facilitate timely orders, receipt and payment of vendor services and student award disbursements.
  • Assist with tracking budget expenditures, including routine monthly budget reconciliation and analysis, and addressing any found discrepancies.
  • Assist with program marketing efforts, including development of flyers, social media communication, and department website updates.
  • Perform other related duties, as needed.

Requirements:

MINIMUM QUALIFICATIONS:

  • Excellent oral and written communication skills.
  • Detail-oriented, with excellent organizational and interpersonal skills.
  • Proactive and motivated individual who is able to manage multiple projects and work as a member of a team.
  • Proficiency in computer systems, including Microsoft Office (intermediate knowledge of Excel, at minimum, is necessary).

PREFERRED QUALIFICATIONS:

  • Experience working in an educational office setting.
  • Experience working with people of diverse backgrounds, experiences, and abilities.
  • Experience in human resources and/or purchasing and accounts payable.
Additional Information:

This is a full-time UUP position.

  • For the first 10 working days, beginning Wednesday, August 5, 2026, and ending Tuesday, August 18, 2026, applications will be limited to UUP Farmingdale.
