Our client, a private family in New York, is looking to hire a highly capable and hands-on Personal Assistant & Household Manager to oversee their household staff, family travel, properties and day-to-day personal logistics. This individual will serve as the central point person for a busy six-person household team, managing staff schedules and performance, coordinating complex travel, overseeing two residences and ensuring that family-related priorities are handled seamlessly.

The successful candidate will be exceptionally organized, proactive and discreet, with strong judgment, excellent follow-through and the confidence to lead a team independently. This role is based out of a Midtown Manhattan office, with regular time at the family’s nearby residence and flexibility to travel to their Long Island home, as needed.

RESPONSIBILITIES
  • Oversee and provide day-to-day direction to a six-person household team, including four household staff members and two regular sitters
  • Manage weekly staff schedules, coordinate coverage for absences and family travel and ensure the household is appropriately staffed at all times
  • Handle staff performance conversations and lead recruiting, interviewing and hiring when household positions become available
  • Manage family travel from start to finish, including flights, accommodations, ground transportation, travel documents and arrangements for accompanying staff
  • Prepare comprehensive itineraries and proactively manage last-minute changes, cancellations and other travel-related issues
  • Oversee two family residences in Manhattan and Long Island, coordinating vendors, repairs, deliveries, service appointments and ongoing property needs
  • Maintain and oversee property-related punch lists, invoices, security systems, irrigation systems and other household maintenance matters
  • Coordinate family logistics, including school and camp forms, activities, medical appointments, insurance and reimbursement claims
  • Manage birthday parties, guest lists, holiday cards, gifts and other personal and family-related projects
  • Oversee household financial administration and paperwork, including vendor invoices, homeowners and auto insurance policies, escrow matters, property tax filings and reimbursements
  • Coordinate approximately monthly family events, including vendors, staffing, guest details and on-site logistics
  • Serve as the primary point of contact when urgent household, property or travel-related issues arise and ensure they are resolved efficiently
  • Utilize AI tools for routine scheduling, research, reminders and administrative tasks, while reviewing outputs for accuracy and maintaining accountability for final outcomes
  • Partner with the Executive Assistant to ensure seamless coverage and handoff of responsibilities as needed
  • Handle highly confidential financial, medical and personal information with the utmost discretion and professionalism
  • Identify potential issues proactively, communicate concerns early and take ownership of resolving problems before they escape
REQUIREMENTS
  • Prior Personal Assistant or Household Manager experience is not required; candidates from a variety of professional and personal backgrounds are encouraged to apply
  • Demonstrated experience managing people, leading a team, running a busy household or coordinating complex responsibilities with multiple moving parts
  • Strong leadership skills with the ability to confidently manage, support and provide constructive feedback to experienced household staff
  • Exceptional organizational and prioritization skills with excellent attention to detail and follow-through
  • Highly dependable, proactive and comfortable operating independently without significant oversight
  • Strong judgment and ability to remain calm and solutions-focused when plans change or unexpected issues arise
  • Excellent written and verbal communication skills
  • Ability to manage complex travel arrangements and respond effectively to last-minute changes
  • Comfortable overseeing multiple properties, vendors and household projects simultaneously
  • High level of discretion and ability to handle confidential financial, medical and personal information with integrity
