We are seeking a dependable, organized, and detail-oriented AP / Receptionist Clerk to support our accounting and administrative departments while serving as the first point of contact for visitors, vendors, and clients.

Job Summary
The AP / Receptionist Clerk will assist with accounts payable processing, office administration, reception duties, and day-to-day clerical support. The ideal candidate should be professional, organized, computer literate, and comfortable working in a fast-paced office environment.
This role requires strong communication skills, attention to detail, multitasking ability, and professionalism when interacting with vendors, clients, subcontractors, and internal team members.
Key Responsibilities Accounts Payable Duties- Enter Purchase Orders, Vendor invoices, Bills, and Expenses into accounting systems.
- Requesting W9 for LLC or Partnership when Entering Vendors
- Verify invoices, purchase orders, packing / delivery slips and payment approvals.
- Coordinate Receiving materials & Sign-off with Relevant Team Members responsible
- Maintain sign-offs on delivery slips from Shop Floor Personnel or Project Manager
- Assist with tracking vendor payments and due dates.
- Maintain log of Credit Card transactions & use frugally
- Monthly AIA Billing & AIA Negotiating Amounts
- Reconcile vendor statements and resolve discrepancies.
- Maintain organized digital and physical filing systems.
- Assist accounting department with data entry and document management.
- Coordinate with project managers and purchasing teams regarding invoices and approvals.
- Answer and direct incoming phone calls professionally.
- Welcome and assist visitors, clients, vendors, and subcontractors.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain office supplies and coordinate office organization.
- Schedule meetings and assist with administrative coordination.
- Support management and staff with general clerical tasks.
- Assist with scanning, filing, copying, and organizing company documents.
- High school diploma or equivalent required.
- Associate degree or accounting background preferred.
- 2+ years of administrative, receptionist, or accounts payable experience preferred.
- Strong organizational and multitasking skills.
- Excellent communication and customer service skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with Quick Books, Sage, or similar accounting software is a plus.
- Ability to work independently and as part of a team.
- Experience in construction, signage, or architectural metal industries preferred.
- Familiarity with purchase orders, invoices, and vendor coordination.
- Experience handling multiple phone lines and office administration.
