Summary

The Administrative Assistant – Electrical Solutions provides administrative, scheduling, payroll, and operational support to the Electrical Solutions team at the Javits Center. This position is responsible for accurately processing employee time and payroll information, maintaining departmental records, supporting workforce scheduling, and assisting with the day-to-day administrative needs of the department. The role requires exceptional attention to detail, strong communication skills, and the ability to manage time-sensitive information in a fast-paced, event-driven environment.

Individuals accepting a position as an Administrative Assistant – Electrical Solutions will be required to become members of Local 3 of the International Brotherhood of Electrical Workers (IBEW) if they are not already members.

The hiring rate for this position is $30.09 per hour. The pay rate is offered in accordance with CBA requirements and is non-negotiable.

Essential Functions
  • Process and enter Electrical Solutions employee hours, event assignments, and related payroll information accurately and within established deadlines; notify the Senior Director when information is ready for review.
  • Maintain accurate files and supporting documentation, including employee sign-in sheets and payroll records.
  • Enter Foreman’s Report information on a weekly basis and notify the General Foreman when completed and ready for review.
  • Assist with the preparation and maintenance of daily, weekly, and vacation schedules for Electrical Solutions staff.
  • Support Javits Center Human Resources with the onboarding and administrative processing of electrician extras, as needed.
  • Maintain and verify employee skills and qualification information in collaboration with Public Safety and other internal departments.
  • Provide administrative support to Foremen and the General Foreman, including copying, billing assistance, recordkeeping, scheduling, and other departmental needs.
  • Review payroll and scheduling information for accuracy and assist in researching and resolving discrepancies as needed.
  • Maintain organized and accurate departmental records, files, and supporting documentation in accordance with established procedures.
  • Attend required meetings and training sessions necessary to perform assigned responsibilities.
  • Provide a high level of customer service when interacting with employees, customers, vendors, and other Javits Center departments.
  • Maintain a professional demeanor and contribute to a collaborative, team-oriented work environment.
  • Perform other administrative duties as necessary to support the Electrical Solutions department.
Qualifications
  • High school diploma or GED required; associate degree or additional education in business administration, accounting, human resources, or a related field preferred.
  • Minimum of three (3) years of experience processing payroll, timekeeping, or closely related workforce administration required.
  • Experience working in a union or collectively bargained environment strongly preferred.
  • Advanced proficiency in Microsoft Excel required, including the ability to organize, review, reconcile, and analyze payroll and workforce data accurately.
  • Strong proficiency in Microsoft Office, including Outlook, Word, and PowerPoint.
  • Experience using payroll, timekeeping, and workforce management systems required; experience with Passport and UKG preferred.
  • Working knowledge of payroll processes, timekeeping practices, billing, and recordkeeping.
