Workplace Experience & Reception Coordinator
Midtown Manhattan | Full-Time | In Office
We are seeking a polished, highly organized Workplace Experience & Reception Coordinator to join a collaborative team at a prestigious global investment firm in Midtown Manhattan.
Working closely with the Office Manager, this person will help take ownership of the day-to-day office experience—from welcoming high-profile clients and guests to ensuring the space is beautifully presented, organized, and running seamlessly.
This is an ideal opportunity for someone with a strong hospitality mindset who enjoys being the face of an office while also being hands-on behind the scenes. We're looking for someone proactive, warm, detail-oriented, and comfortable with a true "no job is too small" approach.
What You'll Do- Serve as the primary point of contact for clients, VIPs, and guests, providing warm, professional, white-glove hospitality
- Ensure reception, conference rooms, pantries, and common areas remain organized, polished, and guest-ready throughout the day
- Partner closely with the Office Manager and Facilities to maintain exceptional workplace standards
- Coordinate weekly catering, including menu selection, ordering, delivery, setup, and logistics
- Manage office deliveries, inventory, unboxing, organization, and storage
- Handle incoming mail, packages, and distribution
- Support office communications and general administrative needs
- Help coordinate team events and special projects from planning through execution
- Follow established office processes while identifying opportunities to make systems more efficient
- Handle confidential and sensitive information with professionalism and discretion
- Jump in wherever needed to ensure the office and team have what they need
- 3+ years of experience in hospitality, luxury retail, high-end guest relations, reservations, event planning, corporate reception, or a similar service-oriented environment
- Polished and professional with exceptional interpersonal and communication skills
- Naturally warm and welcoming with a genuine hospitality mindset
- Highly organized with excellent attention to detail
- Proactive and resourceful, with the ability to anticipate needs
- Calm and composed while managing multiple priorities
- Collaborative, flexible, and comfortable working as part of a hands-on team
- Someone who takes pride in the details and genuinely embraces a "no job is too small" mentality
- Proficiency with Microsoft Office and comfort learning new systems
This is a fully in-office position in Midtown Manhattan
. Longterm contract with the potential to convert to direct hire.
