Nooklyn is looking for a dependable, organized, and proactive Office Manager to keep our offices running smoothly and support the people who use them.
This is a hands‑on role for someone who notices what needs attention and sees it through to completion. That might mean recognizing we need better storage, finding the right shelves, getting approval, arranging installation, and making sure everything is organized afterward. We’re looking for someone who takes responsibility for the finished result— not just the first step.
You’ll be based at our Rutledge headquarters and spend one day each week at our 28 Scott storefront to keep that location organized, stocked, and well maintained. You’ll work directly with Moiz K. Malik and have no direct reports.
What You’ll Do- Keep our offices organized, comfortable, and ready for the day.Maintain tidy work spaces and common areas, keep supplies stocked, handle mail and packages, manage keys and office access, and oversee opening and closing routines. Coordinate cleaners, maintenance providers, and repairs so both locations remain welcoming and functional.
- Own office projects from start to finish.Identify improvements, research options, obtain approval, coordinate purchases and vendors, and confirm the work is completed properly. Whether it’s installing shelving, replacing equipment, or reorganizing a shared space, you’ll keep track of the details and follow through without repeated reminders.
- Support agent onboarding, offboarding, and everyday needs.Help set up and remove system access, collect onboarding paperwork, maintain agent records, answer routine questions, and coordinate training and meetings. Make sure agents know where to find information and who to contact for help.
- Be a helpful point of contact.Welcome occasional visitors, answer incoming calls and shared inbox inquiries, and direct questions to the right person. Visitor traffic is light; this is primarily an office operations role rather than a traditional front‑desk position.
- Help resolve system issues and unusual situations.Learn Nooklyn’s internal systems and help agents when bugs or unexpected issues arise. Gather the relevant details, document problems clearly, coordinate with the appropriate team, and follow up on resolution. This does not include routinely managing listings, processing applications, or preparing leases.
- Coordinate additional office needs as they arise.Help with team events, meetings, printed materials, signage, office errands, and basic technology troubleshooting. Purchases, vendor engagements, and new projects will initially require approval. As you become familiar with the business, you’ll be expected to operate more independently within agreed priorities, budgets, and guidelines. Payroll, bookkeeping, commission administration, and employee attendance or PTO administration are outside this role.
- Consistent punctuality and reliability.This role has a firm 9:00 a.m. start time. Being ready to work on time each scheduled day is a core expectation.
- Ownership and follow‑through.You can turn a request into a clear plan, manage the next steps, communicate progress, and make sure the work is finished. When something gets stuck, you raise it promptly and help find a solution.
