Responsibilities:

We are seeking an experienced Executive Assistant to provide comprehensive support to a senior C‑Suite Executive. This highly visible role requires exceptional organizational skills, sound judgment, discretion, and the ability to manage competing priorities in a fast‑paced environment. The successful candidate will serve as a trusted partner to the executive, helping drive efficiency, coordination, and execution across a broad range of business activities.

Executive

Support
  • Manage complex and frequently changing calendars, ensuring priorities are appropriately balanced and coordinated.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense reporting.
  • Prepare meeting materials, agendas, presentations, briefing documents, and follow‑up items.
  • Screen and prioritize incoming communications and correspondence.
Meeting & Event Coordination
  • Organize and coordinate internal and external meetings, executive offsites, board‑related meetings, and special events.
  • Schedule and manage conference calls, video conferences, and multi‑party meetings across global time zones.
  • Take ownership of meeting logistics and ensure all participants are properly briefed and prepared.
Strategic & Administrative Support
  • Track key initiatives, action items, and deliverables on behalf of the executive.
  • Assist with preparing reports, presentations, and executive communications.
  • Act as a liaison between the executive and internal stakeholders across business divisions and corporate functions.
  • Support special projects and strategic initiatives as needed.
Relationship Management
  • Build strong working relationships with senior leaders, clients, business partners, and external stakeholders.
  • Exercise discretion and professionalism when handling confidential and sensitive information.
  • Serve as a trusted point of contact for matters requiring executive attention.
Operational Excellence
  • Continuously identify opportunities to improve processes, efficiency, and administrative workflows.
  • Maintain organized records, files, and documentation.
  • Manage expenses, invoices, approvals, and other administrative functions.
Qualifications:
  • 7+ years of Executive Assistant experience supporting senior executives, preferably within financial services, investment banking, or a similarly fast‑paced environment.
  • Demonstrated ability to manage complex calendars and executive priorities.
  • Exceptional organizational skills and attention to detail.
