Chief of Staff for Estate & Personal Operations
Hybrid role with Some Travel
A philanthropically minded executive couple seeks a highly capable professional to serve as a trusted right hand and general manager across personal, household, financial, lifestyle, asset-management, and philanthropic matters.
This is a trusted, long-term role for a polished, proactive individual who can understand a complicated overall picture, impose structure, coordinate people and priorities, anticipate issues, and ensure matters are brought to completion.
Candidates should be based in the greater New York City region, able to commute to the NYC residence, and willing to travel to other homes when necessary. This is not a constant travel role.
Your roleYou will serve as the central point of ownership for the principals' calendars, travel, residences, vendors, staff, personal projects, assets, financial administration, professional advisors, and philanthropic commitments, bringing structure, accountability, follow-through, and calm judgment to a complex private environment.
Key Responsibilities- Manage operations across multiple residences, boats, vehicles and other significant personal assets, partnering with staff, property managers, vendors, contractors to keep work organized and accountable
- Personally manage calendars, appointments, correspondence, travel, itineraries, property arrivals/departures, and day-to-day personal logistics for both principals
- Coordinate banking, bill payment, budgeting, reporting, invoices, insurance, renewals, registrations, legal matters, trusts, estate-planning administration, and related records in collaboration with accountants, attorneys, insurance advisors, and other professional specialists
- Travel to residences as needed for openings, closings, projects, events, or principal arrivals while managing much of the work remotely or from New York
- Help organize philanthropic priorities by coordinating foundation meetings, advisors, charitable organizations, grant documentation, proposals, commitments, community initiatives, and follow-up processes that support thoughtful planning and impact tracking
- Create systems, checklists, and follow-up processes that keep residences, travel, vendors, advisors, pets, and personal commitments organized
- 10+ years of experience in a senior Executive Personal Assistant, Chief of Staff, Estate Manager, Family Office professional, or high-level executive support capacity with demonstrated managerial ability
- Proven ability to manage complexity across residences, projects, vendors, budgets, calendars, travel, advisors, staff, and personal or philanthropic commitments while setting priorities, tracking responsibilities, and bringing matters to completion.
- Exceptional organizational and administrative skills with outstanding written and verbal communication
- Highly proficient with Microsoft Office, Google Workspace, Apple products, and modern productivity software
- Bright, energetic, calm, curious, highly organized, and low-ego
- Resourceful, proactive, and detail-oriented
- Warm, professional, discreet, and service-minded with impeccable judgment and integrity, and the confidence to respectfully disagree when a better course is warranted.
- Valid passport and ability to travel to residences throughout the U.S. and Caribbean as needed; travel is occasional and purposeful, not constant
- Comfortable working in a hybrid/remote structure while remaining highly responsive, communicative, and connected to the principals' needs
- Valid driver's license
- Some yachting or marine experience is a plus

- Generally, Monday through Friday during business hours, with a hybrid/remote structure and in-person presence at the NYC residence or other properties as needed
- 24/7 mindset, with the flexibility and willingness to respond to after hours, weekend, and holiday requests as needed
- Base salary of $200,000 - $275,000 based on experience
- The benefits package will be discussed with qualified candidates
