The Content & Education Coordinator will support the team in executing professional development, content sessions and online learning offerings for ICSC Members. This role is ideal for an early-career professional with strong organizational skills, a passion for professional development, and the ability to manage multiple projects in a fast-paced environment. The coordinator helps keep projects organized and ensures deadlines are met and materials are accurate, on brand, and aligned with organizational goals.

This position is hybrid and based out of our New York City office, in-office days are Tuesday, Wednesday & Thursday.

Duties and Responsibilities:

Speaker Vetting & Management
  • Responsible for the vetting and management of speakers for ICSC events to include creating and maintaining accurate speaker profiles in Microsoft Dynamics
  • Prepare and distribute speaker agreements to multiple panelists, speakers and instructors simultaneously; monitor and track agreement execution status to ensure deadlines are met.
  • Communicate directly with speakers to collect required materials, including headshots and bios
  • Assist in developing and organizing session call sheets
  • Ensure timely and accurate submission of all speaker materials
Event Logistics & Coordination
  • Schedule and coordinate prep calls for events; manage calendar invites and speaker participation tracking
  • Coordinate with internal teams to ensure accurate program information
  • Provide real-time website updates to the web team during onsite event execution
Education Program Support
  • Process and add new registrants to the Online Retail Real Estate Institute
  • Monitor and respond to inquiries in the Education inbox
  • Provide general administrative and operational support for education initiatives
  • Manages Complexity - Making sense of complex, high quantity, and sometimes contradictory information
  • Plans and Aligns - Planning and prioritizing work to meet commitments aligned with organization goals
  • Cultivates Innovation - Creating new and better ways for the organization to be successful
  • Balances Stakeholders - Anticipating and balancing the needs of multiple stakeholders
  • Collaborates – Building partnerships and working collaboratively with others to meet shared objectives
Qualifications:
  • 1–3 years of project management, education, communications, or other administrative experience.
  • Strong organizational and project coordination skills with the ability to manage multiple assignments simultaneously.
  • Excellent written and verbal communication abilities.
  • Detail-oriented with the ability to manage multiple deadlines.
  • Experience working with CRM systems (e.g., Dynamics) preferred.
  • Ability to work cross-functionally and support live event environments.
  • Bachelor's degree in Marketing, Communications, Business, or a related field.
  • Strong writing, editing, and proofreading skills with attention to detail.
  • Working knowledge of Microsoft Office 365, including Outlook, Excel, PowerPoint, and Word.
  • Positive, professional demeanor and a strong commitment to teamwork.
  • Ability to build relationships and collaborate effectively with internal and external stakeholders.
