OverviewThe Purchasing Administrator provides essential clerical and operational support to the procurement team. This role ensures the accurate and timely purchase of goods and services, maintains organized purchasing records, and supports clear communication between internal stakeholders and external suppliers.
Responsibilities- Create and manage purchase orders for direct and indirect materials, ensuring accurate pricing, specifications, and delivery terms.
- Track orders and shipments, following up with suppliers to confirm status and resolve changes or delays.
- Coordinate with Warehouse and Logistics teams to verify receipt of goods and alignment with purchase orders.
- Review and reconcile purchase orders, delivery documentation, and vendor invoices; support resolution of discrepancies with Purchasing and Accounts Payable.
- Maintain purchasing records, supplier files, and related documentation.
- Serve as a primary administrative contact for suppliers, responding to inquiries related to orders, deliveries, and payments.
- Assist with vendor research, quote requests, reporting, and general purchasing support.
- Other duties as assigned.
- High school diploma or GED required;
Associate’s degree in Business Administration, Supply Chain, or related field preferred. - 1–3 years of experience in purchasing, procurement, administrative, logistics, or supply chain support roles.
- Proficient in Microsoft Excel and the MS Office Suite, with experience managing purchasing data and documentation.
- Working knowledge of ERP systems supporting purchasing, inventory, or financial processes.
- Detail-oriented, organized, and able to manage multiple priorities while meeting deadlines.
- Strong communication skills to effectively work with internal teams and external suppliers.
- Able to independently resolve routine purchasing issues, including shipment delays or invoice discrepancies.
- Basic coordination or negotiation skills related to pricing, delivery timelines, and order changes.

Compensation Range: $26.00 - $30.00/hr.
