Role Overview

Pontiva is seeking a Vice President of Operations. This individual will be responsible for building and managing institutional-grade processes across fund administration, LP communications, compliance, and company infrastructure.

The role is highly cross-functional – partnering closely with the Founders, external administrators, auditors, legal counsel, and portfolio companies. The ideal candidate has experience in venture capital, private equity, or fund administration and can operate as both a strategic thought partner and hands-on executor.

Core Responsibilities

1) Fund Operations, Finance & Platform Development

  • Own day-to-day relationship with fund administrator: capital calls, distributions, NAVs, partner statements, and SPV administration
  • Oversee LP onboarding including subscription documents and side-letter tracking
  • Manage fund expense tracking, management fee calculations, budgeting, and cash management
  • Coordinate quarterly and annual audits, tax processes, and valuation workflows
  • Maintain investment records, closing documentation, and portfolio performance tracking
  • Support transaction execution including wires, closing checklists, and post-close administration
  • Evaluate fund economics, scenario modeling, and future fund planning

2) Investor Relations & Reporting

  • Lead preparation of quarterly and annual LP reports, estimates, and performance materials
  • Maintain CRM, investor portal, and investor database integrity
  • Develop and implement investor communication strategy
  • Support fundraising processes and prospective LP materials
  • Coordinate annual meetings and investor events

3) Compliance & Risk Management

  • Implement and maintain compliance manual, code of ethics, and policies
  • Oversee vendor due diligence, cybersecurity oversight, and data governance
  • Ensure adherence to fund terms and regulatory requirements

4) Management Company & Portfolio Operations

  • Oversee HR/PEO relationships, payroll, benefits, and onboarding
  • Manage IT stack, security, document management, and vendor contracts
  • Implement travel & expense policies and internal controls
  • Maintain data room, version control, and firm reporting calendar
  • Support portfolio company operations including finance vendors and reporting cadence
Ideal Candidate Profile
  • 5–10+ years of experience in venture capital, private equity, fund administration, or asset management operations
  • Deep understanding of private markets fund structures, capital calls/distributions, and investor reporting
  • Experience interfacing with fund administrators, auditors, and legal counsel
  • Strong Excel and financial literacy; comfort with waterfalls and fund economics
  • Exceptional organization, accuracy, and project management skills
  • Excellent written and verbal communication with LP-facing professionalism
  • Ability to manage multiple priorities in an entrepreneurial, small-team environment
  • High integrity, discretion, and ownership mindset
Preferred
  • Prior experience supporting fundraising or institutional investor relations
  • Familiarity with compliance frameworks for RIAs/ERAs
  • Experience implementing CRM or fund administration systems
