Our small business program, HBK Incubates, supports entrepreneurs as they transform their food businesses into sustainable income sources. Culinary Fundamentals, our award-winning culinary training program, provides access to high-quality jobs for those starting their careers in the food industry.

Our upskilling programs enable incumbent workers to gain further skills, leading to higher wages and career advancement. We work diligently alongside our network of over 200 food employer partners and more than 250 nonprofit and government partners to ensure our graduates are set up for success both at home and in their careers.

THE OPPORTUNITY

Hot Bread Kitchen seeks a detail-oriented, results-driven Small Business Program Coordinator to support the success and growth of the HBK Incubates program. This multifaceted role serves as the primary point of contact for member communications, coordinating recruitment, onboarding, and mentorships. The Coordinator is responsible for the daily coordination of program operations, including maintaining our Learning Management System (LMS), tracking business performance data, and ensuring data integrity within Salesforce.

Additionally, this position provides critical cross-functional support by collaborating with the Development, Brand, and Community Engagement teams to provide member stories and data for grant reporting and recruitment efforts.

The Small Business Program Coordinator supports Hot Bread Kitchen Incubates (HBKi), our programs that support food entrepreneurs to start and grow their businesses. The position will work closely with the HBKi Team and will report directly to the Small Business Program Manager.

GENERAL RESPONSIBILITIES Member Engagement
  • Serve as the first point of contact for member communications via email, text, and phone.
  • Meet with prospective members to introduce them to HBK Incubates.
  • Draft and send the monthly member newsletter via Mailchimp.
  • Partner with the Program Manager to develop the member resource hub and maintain updated information.
  • Partner with the Volunteer Manager to match members with relevant volunteers for mentorships and technical assistance, and track matches and outcomes.
Program Operations
  • Attend and support the Program Manager at monthly Seed workshops.
  • Manage member and staff accounts on the Learning Management System (LMS) that hosts the Seed curriculum, troubleshoot member technical issues, and receive, store, and report on member feedback about the platform.
  • Track completion of program surveys, follow up with members as needed, and report on survey response trends.
  • Track submission of business performance data in the Start and Scale programs, follow up with members as needed, and report on business performance trends.
  • Receive, file, and conduct screenings of member applications to ensure they meet eligibility requirements of the programs.
  • Schedule and support member interview logistics.
  • Provide additional logistical support, as needed, across the programs in support of the Program Manager and Sr. Director.
  • Maintain the HBK Incubates CRM via Salesforce.
Data Entry and Reporting
  • Maintain member data in Salesforce on a consistent basis.
  • Collate and circulate weekly and monthly data updates.
Cross-Functional Support
  • Coordinate member engagements requested by our Development and Brand Teams.
  • Pull data and provide member stories for grant proposals and reports.
  • Support the Community Engagement Team with member recruitment efforts, including reaching out to partner organizations and attending events.
  • Perform other duties as assigned, including supporting cross-functional projects and operational needs as they arise.
