- The Vendor Operations Analyst supports the execution and day-to-day governance of enterprise software licensing and purchase order (PO) operations.
- This role partners closely with Vendor Governance, Procurement, Finance, vendors and business stakeholders to help ensure compliance with client policies, financial controls, and audit requirements while driving operational efficiency and continuous improvement.
- The analyst plays a hands-on role in coordinating licensing and procurement activities, supporting issue resolution, and contributing to process optimization and automation initiatives.
- Support governance controls across the end-to-end purchase order lifecycle in alignment with client procurement policies.
- Review purchase orders for accuracy, validating pricing, quantities, payment terms, and contract references prior to processing.
- Ensure adherence to established approval workflows and documentation requirements.
- Coordinate with client stakeholders to confirm purchasing requirements, delivery timelines, and fulfillment expectations.
- Serve as a primary point of contact for routine vendor communications related to PO acknowledgments, changes, and confirmations, escalating issues as needed.
- Track open purchase orders and follow up on delays, shortages, or discrepancies.
- Maintain complete and compliant PO documentation and amendment records.
- Support the investigation and resolution of licensing and purchase order issues, including invoice mismatches, billing discrepancies, and system or processing errors.
- Assist in identifying root causes and contributing to corrective and preventive control improvements.
- Support adherence to internal controls, audit standards, and regulatory or contractual requirements and prepare documentation required for audits, financial reviews, and compliance attestations.
