Role SummaryThe Payroll Administrator is tasked with processing and maintaining accurate payroll records, ensuring compliance with federal, state, and local regulations, and delivering exceptional support to employees regarding payroll inquiries. The ideal candidate will be detail‑oriented, highly organized, and proficient in ADP Workforce Now, with the ability to multitask, prioritize, and complete assignments efficiently. This role demands strong analytical skills, discretion with sensitive information, and effective collaboration with HR and other departments.
PrimaryJob Responsibilities /Duties
- Process weekly payroll for all employees through ADP Workforce Now, ensuring accuracy and timeliness.
- Maintain and update employee payroll records, including new hires, terminations, and salary changes.
- Review and audit timecards for accuracy, ensuring alignment with company policies and applicable labor laws.
- Handle payroll adjustments, including retroactive pay, overtime, and leave payouts.
- Generate payroll reports for audits and DHS as needed.
- Respond to employee inquiries regarding pay, taxes, and deductions in a timely and professional manner.
- Process and reconcile garnishments, benefit deductions, and other with holdings.
- Ensure payroll tax filings and related compliance requirements are met.
- Assist with year‑end payroll processes, including W‑2 preparation and distribution.
- Maintain confidentiality of payroll data at all times.
- Compile and prepare monthly payroll expense reports for submission to DHS.
- Reconcile payroll expense data with accounting records to ensure accuracy before DHS submission.
- Maintain supporting documentation for all DHS expense reports, ensuring compliance with agency guidelines and audit standards.
- Perform other departmental duties and participate in projects as assigned.
- Ability to walk, stand, kneel, crouch, and bend over.
- Ability to lift, reach, and handle objects weighing up to 25 pounds.
- Ability to sit at a desk and work on a computer for prolonged periods.
- Ability to travel to different locations within New York City, as needed
- While standard business hours are Monday through Friday, 9:00 AM to 5:00 PM, employees may be required to work on or during evenings, weekends, and holidays.
- At least two (2) years of prior administrative experience.
- Previous experience in a similar position.
- Extensive knowledge of MS Excel, MS Word, and Outlook.
- Effective communication skills, personal integrity, and the ability to work with a wide range of individuals and complex issues.
- Must be able to read, speak, write, and understand English for administrative purposes.
- Must pass drug screening to be appointed.
- This position may be subject to a series of investigations before and after appointment.
