Role Summary

Support the day‑to‑day operations and key project initiatives throughout the region. Be the main point of contact with external consultants that drive critical operations and work hand in hand with key Technology partners in delivering change environment status and reporting for all offices, data centers, and operations.

Principal Responsibilities
  • Plan and coordinate all main work streams – Maintenance, Operations and Projects – to ensure seamless delivery of services that support core business requirements on a 24x7 basis.
  • Keep updated weekly meeting minutes for the weekly calendar, including all Bau work and operational projects.
  • Manage vendor contract agreements, Master Service Agreements, purchase orders, invoicing, and variance controls using Mizuho finance framework tools.
  • Update the General Investment Spend (Cap Ex) tracker to provide a real view of Cap Ex spends, add new projects, and monitor spend versus budget status.
  • Review, code, and track all Critical

    OpEX; update the Invoice Tracking and Variance Report when invoices are submitted to provide a real‑time view of the OpEx budget spends.
  • Track NYC RPIE filings and RE tax payments.
  • Enter new contracts in the Contract Portal and maintain the Contract Cost and Expiration Tracker, updating it as contracts move through the approval process.
  • Ensure vendors have an MSA in place, rename contracts using the appropriate naming convention, and chase down signatures for approved contracts.
  • Coordinate new entities into the Mizuho Brand: vendor and contractor onboarding, document adherence.
  • Perform reclass activities to reassign a project from “Construction in Progress” to the appropriate budget class (e.g., FF&E or Leasehold).
  • Review and track monthly energy consumption (kWh and cost), providing accurate monthly/annual reporting for all sites, including infrastructure plant and equipment auditing.
  • Serve as the main point of contact on all critical environments and maintenance affecting business units and all offices, including global sites.
  • Enter Service Now change tickets for all critical events, including offline or partial offline maintenance that could pose a risk to business availability.
  • Accountable for onsite supervision for all weekend activities; be onsite as needed and provide vendor access support for individual sites.
  • Conduct risk and impact analysis of planned and emergency work.
  • Review and update Mizuho policies and procedures for all facilities annually.
  • Provide notifications in the D‑Infra Early Warning  Channel in Teams for impactful events (power events, utility outages, mechanical issues, etc.) that may affect the Bank’s ability to conduct business.
  • Input “Start of Day RED/Yellow/Green Status Template” and attend the “Start of Day Call,” reporting anomalies and weekly notable change tickets.
  • Manage the technology change management process and follow it through to completion.
  • Provide weekly updates on scheduled work performed for all locations and data centers.
  • Hold meetings with business owners before weekend work and report after completion, using CRES and IT tools for notifications and reporting.
  • Enter critical events (shutdowns, etc.), BAU maintenance activities (Gen Run Tests, FA Maintenance and Testing), and change freeze windows that could affect critical work.
  • Chair the weekly review calendar meeting every Wednesday at 2:30P.
  • Coordinate site shutdowns with IT and business partners; prepare individual shutdown scripts and conduct shutdown meetings.
  • Vendor manage planned maintenance tasks, contract management, COIs, yearly reviews, and updates.
  • Manage overall risks and implementation of all works associated with critical infrastructure for vendors.
  • Assist BCP/BCM with change management planning, incident management, and reporting.
  • Prepare work schedules and future planning for all locations.
  • Liaise with property owners for their yearly maintenance plans and scheduling.
  • Gather and update site data, monitor COIs in Prism, and update primary contact information.
  • Update engineer data and manage documentation, both online storage and hard copies, including drawings for each site.
