Position Overview

The Compliance Specialist plays a pivotal role in ensuring strict adherence to company-wide policies and regulations set forth by OMH, DOH, OASAS, DOE, CHRC, and other relevant bodies within the Human Resources department of Acacia Network. This position is responsible for overseeing compliance in multiple critical areas, including regulatory filings, policy adherence, document management, and reporting.

Key Essentials Justice Center
  • Manage and ensure compliance for the Justice Center fingerprint packet, including Staff Exclusion List (SEL), Criminal Background Check (CBC), and Statewide Central Register Database (SCR) clearances.
  • Maintain and update the online Justice Center portal monthly, incorporating changes such as terminations and new hires.
Department of Education (DOE), Department of Health (DOH), Criminal History Record Check, Security Guard Licensure
  • Ensure all staff under DOE, DOH are fingerprinted and that clearances have been received
  • Verify that all staff are eligible to work at their respective sites based on clearances needed
  • Regularly audit staff clearance statuses.
  • Remove any staff from schedules who do not have proper clearance.
  • Verify the completeness and validity of clearance documentation for DOH staff.
Criminal History Record Check (CHRC)
  • Verify clearance status for all unlicensed staff
  • Ensure the staffing list under the CHRC system is accurate and up to date.
  • Inactivate all staff who are no longer active in online portal
Security Guard Compliance
  • Ensure all guards have an active security guard license.
  • Ensure all guards under a Residential or Commercial buildings have F01 and F07 trainings. All Security Guard Supervisors must also have F95
  • Ensure all guards working under a shelter have a F-80 and F-02 training
  • All guards who do not have an active license must be removed from schedule.
Annual Compliance Processes

Oversee compliance with:

  • Code of Conduct training
  • Annual Inservice training
  • Talent Reviews
  • Introductory Period Reviews
  • Handbook Acknowledgments
  • Health Screening Forms
  • Annual Sexual Harassment training
General Compliance Responsibilities
  • Stay updated with regulatory changes and requirements related to DOE, DOH, CHRC, and Security Licenses.
  • Assist in the development and implementation of compliance procedures and policies to ensure adherence to all applicable regulations.
  • Conduct regular audits and reviews to monitor compliance status.
  • Collaborate with other departments or agencies to resolve compliance issues.
  • Maintain accurate records and documentation related to compliance efforts.
Communication and Training
  • Provide training and guidance to HR staff and managers regarding compliance requirements.
  • Communicate effectively with staff regarding compliance policies, procedures, and updates.
  • Address any compliance-related concerns or inquiries from staff members promptly.
File and Document Management
  • Ensure complete files are scanned and accurately stored in designated HR systems. This includes active and terminated files
  • Maintain the HR Drive, ensuring it contains only the most current and relevant information (Job Description, Benefit Summaries, HR Forms, Templates)
  • Coordinate the transfer of terminated staff files older than seven (7) years to Iron Mountain or similar archival service.
Additional Responsibilities
