Salary Range: $30 - 38/ hour

Position Summary

The Service Coordinator plays a critical role in ensuring the service department operates efficiently and profitably while delivering an exceptional customer experience. This position coordinates daily service activities, facilitates communication between customers and internal departments, manages technicians' schedules, and supports receiving and service-related logistics.

The ideal candidate combines leadership ability, strong organizational skills, and a hands-on approach to managing service operations.

Key Responsibilities Leadership & Team Support
  • Lead, coach, and support service technicians and administrative staff to ensure high-quality performance.
  • Schedule and allocate work assignments to maximize technician productivity and efficiency.
  • Monitor daily progress on open service jobs and assist with performance feedback and development.
Service Operations & Coordination
  • Plan and oversee daily service operations, ensuring repairs and maintenance are completed efficiently and to a high standard.
  • Create and manage work orders; assign technicians based on priority, skill set, and availability.
  • Coordinate communication between customers, technicians, parts, shipping/receiving, and management.
  • Track open work orders and ensure timely job completion and accurate closing of repair orders.
  • Support scheduling of routine maintenance, emergency repairs, warranty work, and field service calls.
  • Coordinate with the parts department to confirm availability and minimize repair delays.
Receiving & Inventory Support
  • Oversee service-related receiving activities.
  • Inspect and verify incoming parts, equipment, and warranty shipments.
  • Match received items to purchase orders, repair orders, and vendor documentation.
  • Maintain accurate receiving records and ensure proper staging of parts and materials.
  • Maintain a clean, organized, and safe receiving area.
Customer Relations
  • Serve as a primary point of contact for customers regarding service needs and updates.
  • Communicate repair status, estimates, parts availability, and completion timelines.
  • Resolve customer concerns professionally while supporting company policies and profitability.
  • Build and maintain strong, long-term customer relationships.
Financial & Administrative Oversight
  • Assist in monitoring labor, parts, freight, and operational costs.
  • Support accurate and timely invoicing, warranty claims, and customer billing.
  • Review open work orders to ensure proper cost recovery and billing accuracy.
  • Analyze department performance metrics and identify opportunities to improve efficiency and profitability.
Compliance & Safety
  • Ensure adherence to company policies, OSHA regulations, and safety standards.
  • Promote safe work practices across the service department and receiving areas.
  • Maintain accurate service records, warranty documentation, and department files.
  • Participate in safety meetings and consistently document safety practices.
Qualifications
  • Experience in service coordination, service management, or equipment service operations preferred
  • Strong leadership, organization, and multitasking abilities
  • Excellent communication and customer service skills
  • Experience with work order systems and service workflows
  • Knowledge of OSHA and general industry safety standards preferred
  • Ability to thrive in a fast-paced, team-oriented environment
  • Ability to lift up to 40 lbs and stand at the counter for extended periods.

Pay Range

$62,400 - $79,040 USD
