We’re looking for a Senior Producer who loves planning events and all the work that goes into making them happen—from budgeting and scheduling to staffing and contracting to onsite execution. You will be the engine of the project team, supporting flawless execution through presence, organization, and consistency.
Key Responsibilities- Support the EP and lead a team of Coordinators in managing all production aspects of events for one of our premier tech client portfolios.
- Program end‑to‑end ownership: lead program intake conversations with clients; develop program estimates; draft and route scopes of work for internal and external approval.
- Manage project teams of 2–8 people from kickoff through conclusion.
- Build and maintain program schedules and deadlines.
- Facilitate cross‑department deliverables and communications (creative, strategy, etc.).
- Lead project‑specific meetings and communications, including topic prioritization and solution facilitation.
- Ensure program remains in compliance with internal and external requirements.
- Oversee timely reconciliation of projects, including submission of costs.
- Collaborate with finance to report and maintain program revenue predictions.
- Manage post‑event internal and external debriefs and learning documentation.
- Implement process and execution learnings and identify opportunities for improvement and efficiency.
- Maintain consistent professional process and standards across simultaneous projects.
- Develop resourcing plans and secure program resources with support from the internal resourcing team.
- Source and brief vendors for program deliverables; negotiate vendor costs to meet budget expectations.
- Review vendor contracts and route for internal approval.
- Oversee onsite execution of programs, managing suppliers, troubleshooting, and ensuring seamless attendee experiences.
- 5+ years in the events industry or experiential agencies.
- Technical skills: fluency in Google Workspace, Adobe Acrobat; experience with budget authorship, management, reconciliation, and expense tools.
- Experience with major tech clients and/or Fortune 100 brands preferred.
- Strong ownership of production schedules from creation to execution.
- Strong negotiation skills for vendors/partners and experience reviewing contracts.
- Problem‑solving mindset, proactive, with ability to anticipate needs and manage up and sideways.
- Ability to work under tight deadlines and remain calm under pressure.
- Excellent attention to detail.
- Great written and verbal communication; ability to get points across clearly and drive people to action.
- Willingness and ability to travel, including some weekends.
- Flexible and agile, open to learning new processes and handling unexpected situations.
