Position Summary

Project Coordinator

In this role, the successful candidate is responsible for providing basic to moderate project coordination. The coordinator works with internal and external parties to organize the components needed to initiate, run, and complete major projects. Responsibilities include promoting, coordinating, and supporting research projects, facilitating administrative processes of departmental activities, and preparing and submitting grant applications.

Job Responsibilities
  • Gather and collect data from different parties and present findings as applicable; research problems, issues, and concerns and respond to requests for information; assist in developing materials and presentations for training, educational sessions, departmental seminars, and other activities.
  • Participate in grant-related activities such as developing grant applications/proposals and fundraising activities if applicable; collect and organize required paperwork for submission, follows up, and coordinates resolution of all issues.
  • Provide basic to moderate coordination for project activities, working with a manager or director; develop project schedules, process and track project-related purchase/requisition, reimbursements, expense reports, and related invoice payments.
  • Prepare and review documents, generate status/progress reports for ongoing and pending projects, including moderate analysis of findings; outline agenda, prepare and deliver presentations, compose memos and letters; review, edit, and obtain appropriate approvals; respond to routine correspondence and refer non‑routine items to the appropriate party.
  • Assist in recruitment, hiring, and training of clerical staff, assistants, trainees, and volunteers for the program; review workflow and recommend improvements to ensure efficient cycle times.
  • Organize and coordinate schedules, activities, and special events; coordinate conference preparation activities, including logistics, technical support, food and beverage arrangements, and other related activities; assist in special event planning.
  • Participate in special projects and perform other duties as required.
Minimum Qualifications
  • Bachelor’s degree or equivalent in business administration, health care administration, or related field, or an equivalent combination of education and relevant experience.
  • Proficiency in Microsoft Office applications such as Word, Excel, Access, PowerPoint, and Outlook; familiarity with internet applications.
  • Effective oral, written, and interpersonal communication skills; ability to interface effectively with all levels of management and communicate with both internal and external customers.
  • Ability to work within a team environment as well as independently; strong time‑management skills and ability to work well under pressure.
  • Ability to project/program manage and multitask while paying attention to details.
Preferred Qualifications
  • Project/Program management experience preferred.
  • Qualified candidates must be able to effectively communicate with all levels of the organization.

Salary Transparency

The salary range for this role is $66,300.00 – $70,350.00 annually. Actual salaries depend on factors such as experience, specialty, education, and hospital needs. The salary range does not include bonuses, incentive pay, differential pay, or other forms of compensation or benefits.
