Role Summary

We’re looking for a highly organized, proactive Event Marketing Coordinator to take full ownership of logistics and execution across a diverse, high‑impact event portfolio. You’ll manage everything from intimate client dinners and VIP activations to large-scale conferences, trade shows, and proprietary hosted events.

This is a true ownership role — not support. You’ll anticipate needs, surface risks early, and keep every workstream moving with precision while partnering closely with Marketing, Sales, Business Development, and Leadership.

What You’ll DoEvent Planning & Logistics
  • Own end‑to‑end logistics for client dinners, VIP activations, leadership offsites, networking events, conferences, trade shows, and sponsor ships.
  • Build and maintain timelines, run‑of‑show documents, checklists, and planning calendars.
  • Coordinate venue sourcing, vendor management, catering, A/V, travel, registration, shipping, and on‑site setup/breakdown.
  • Provide hands‑on support at NYC and out‑of‑market events as the primary day‑of contact.
  • Manage packing, shipping, receiving, and inventory for event materials and branded assets.
  • Maintain organized documentation including contracts, vendor records, and digital assets.
VIP & Invite‑Only Experiences
  • Plan and execute high‑touch client events with a white‑glove standard.
  • Own guest list curation, invitations, RSVPs, seating, and personalized attendee communications.
  • Coordinate gifting, hospitality, and custom experiences tailored to senior‑level audiences.
  • Ensure accurate attendee records and timely follow‑up.
  • Lead logistics for conference and tradeshow participation, including booth coordination, sponsorship deliverables, exhibitor compliance, staffing, and lead retrieval.
  • Track deadlines, asset specs, and contractual obligations.
  • Maintain a vendor database with pricing, contacts, and performance notes.
  • Source and coordinate branded collateral, signage, swag, and experiential elements.
Cross‑Functional Coordination
  • Align with Marketing, Sales, BD, Customer Success, and Leadership on event goals, staffing, messaging, and follow‑up workflows.
  • Serve as the central logistics hub — communicating timelines, flagging risks, and holding teams accountable.
  • Manage meeting notes, action items, and planning documentation in project management tools.
  • Coordinate with external vendors, agencies, venues, and organizers to ensure seamless execution.
  • Source, evaluate, and manage vendor relationships across categories.
  • Compare quotes, negotiate terms, and confirm bookings with accuracy.
  • Track budgets, process invoices, reconcile expenses, and flag variances early.
