Job Description & How to Apply Below
Location: New York

Back-House provides finance, operations, and marketing support for NYC's best independent restaurants. Our aim is to help great restaurants run like great businesses, giving owners Fortune 500-caliber infrastructure. Our clients include L'industrie Pizzeria, Aska, Prune, Court Street Grocers, Montague Diner, S&P Lunch, Elbow Bread, Sauced Wine Bar, and more.

Role Overview

We're hiring an Operations Associate to be the day-to-day execution engine behind our client portfolio. You'll own the financial operations – bill pay, payroll, reporting – across a group of independent restaurant clients, running disciplined, systematized financial cycles that keep every account on track. Your job is to take day-to-day logistical fire drills off owners' plates and convert bespoke, manual work into scalable, repeatable playbooks.

The Operations Associate position is our pipeline into client strategy and account ownership – strong performers take on increasing strategic responsibility and grow into an Account Manager role over time.

Responsibilities

Bill Pay:
Execute bill-payment cycles across a portfolio of clients

Payroll Administration:
Process weekly payroll through Toast, Square, or ADP — including manual adjustments, tip-pooling distributions, and supervisor/job-title mapping

Reporting & Compliance:
Generate and distribute weekly Flash Reports and monthly P&L recaps with drafted commentary for owner review

Automation & Efficiency:
Implement automated triggers for AP reporting and P&L commentary to reduce manual touchpoints, and continually find ways to introduce system efficiencies

Inbox & Calendar Management:
Manage high-volume client inboxes and calendars, ensuring nothing slips and owners stay ahead of deadlines

Template & Asset Management:
Keep company-wide templates (MSAs, SOWs, onboarding decks, client deliverables) current as offerings and processes evolve

Cross-Functional Contribution:
Support additional projects and strategic priorities as assigned, contributing operational perspective and execution capacity wherever required

Requirements

A self-proclaimed  10/10  in organization, with a proven ability to manage high-volume inboxes and complex calendars – attention to detail and organizational discipline are the most important traits for this role

Proficient in Microsoft Excel and/or Google Sheets

Proficiency in Quick Books Online, Margin Edge, Toast, Square, or ADP a plus

Strong written and verbal communication skills

Based in the U.S., able to work EST hours, and available to travel on-site to NYC locations

Clear path into client strategy and a future Account Manager role

Direct exposure to how NYC's top independent restaurants are built and scaled

Monthly healthcare stipend

Paid vacation + sick leave

Dining stipend across our client restaurants
