Jean Kristensen Associates, LLC (JKA) is a growing management consulting and advisory firm helping government agencies, transportation authorities, corporations, and small businesses improve organizational performance, strengthen supplier diversity programs, and deliver meaningful results.

We're looking for an Executive Operations Coordinator who thrives on organization, execution, and making things happen. This role is ideal for someone who enjoys solving problems, creating order from complexity, and helping an executive stay focused on strategic priorities.

You’ll work directly with our CEO and leadership team, becoming a trusted partner in the day-to-day operations of a growing consulting firm.

What You’ll Do

Help Build Something That Matters

You’ll become the operational hub that keeps JKA running smoothly.

Responsibilities include:

Executive Support
  • Manage the CEO's calendar and scheduling.
  • Coordinate meetings and prepare agendas and materials.
  • Draft professional correspondence and follow-up communications.
  • Track priorities and ensure action items are completed.
Operations & Project Coordination
  • Coordinate proposals, contracts, and consultant onboarding.
  • Organize SharePoint, Microsoft Teams, and business documents.
  • Maintain templates and standard operating procedures.
  • Track project deliverables and deadlines.
  • Assist with internal workflow management.
Marketing & Client Engagement
  • Coordinate Linked In content and marketing communications.
  • Support webinar and workshop logistics.
  • Update website content and marketing materials.
  • Manage mailing lists and event registrations.
Technology & Systems
  • Support Microsoft 365 applications, including Outlook, Teams, SharePoint, and Forms.
  • Coordinate Calendly scheduling and meeting workflows.
  • Assist with Salesforce and other business systems.
  • Leverage AI tools such as ChatGPT and Microsoft Copilot to improve efficiency.
What Success Looks Like

Within your first six months:

  • Executive priorities stay organized and on schedule.
  • Internal systems are well organized and easy to navigate.
  • Meetings, workshops, and client engagements run smoothly.
  • Proposals and onboarding activities are coordinated efficiently.
  • Marketing communications are timely and consistent.
  • The CEO spends significantly more time with clients and business development—and less time on administrative tasks.
What We’re Looking For

We're less concerned about industry experience than we are about capability, initiative, and attention to detail.

The ideal candidate will have:

  • 3–5 years of executive support, operations, or project coordination experience.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • High proficiency with Microsoft 365.
  • Experience with SharePoint, Teams, and Outlook.
  • Comfort learning new technology and AI tools.
  • The ability to manage multiple priorities while maintaining accuracy.
  • Professional judgment and discretion when handling confidential information.

Experience with Salesforce, Canva, Constant Contact, or other business systems is a plus but not required.
