About the Role

We are looking for a Senior Proposal Writer / Senior Bid Executive who is passionate about winning business through powerful, well-structured proposals. This is not just a writing job. You will be at the heart of our business development process deciding which opportunities to pursue, crafting compelling responses, coordinating with multiple teams, and making sure every submission puts our best foot forward.

1. Finding & Qualifying Opportunities
  • Monitor tender portals, client websites, and industry sources to find new bid opportunities
  • Read every RFP/RFQ/ITT carefully and do a quick Go / No-Go assessment before committing resources
  • Check eligibility — turnover requirements, certifications, past project experience, geographic criteria
  • Maintain and update the bid pipeline tracker / opportunity register
  • Brief the sales or leadership team on shortlisted opportunities
2. Kicking Off & Coordinating the Bid
  • Organise and lead the bid kick-off meeting with all relevant teams
  • Build a responsibility matrix — clearly define who owns which section by which date
  • Set internal deadlines that are 48 hours ahead of the actual client deadline
  • Work closely with technical, finance, legal, and operations teams to gather inputs
  • Follow up, chase, and coordinate — don't wait for people to come to you
3. Writing & Developing the Proposal
  • Study the evaluation criteria first and build your response around it
  • Develop strong win themes and clear value propositions that speak the client's language
  • Write the full proposal — executive summary, technical solution, team profiles, case studies, methodology, and pricing narrative
  • Convert technical jargon from SMEs into simple, persuasive client-friendly language
  • Create and maintain consistent formatting, tone, and design across all sections
  • Develop visual elements like tables, infographics, and graphics to support the narrative
4. Review & Quality Assurance
  • Build a compliance matrix — ensure every requirement in the RFP is addressed
  • Manage internal review rounds — peer review, technical review, director sign-off
  • Proofread for grammar, formatting, page limits, file size, and naming conventions
  • Incorporate feedback quickly without losing the core message or quality
5. Submission
  • Submit via the correct channel — portal, email — on time, every time
  • Follow submission naming conventions and file formats specified by the client
  • Save submission evidence — confirmation emails, portal screenshots
  • Store the final submitted version in a structured shared repository
6. Post-Submission & Follow-Up
  • Track decision timelines and follow up with the client professionally
  • Support oral presentations or clarification rounds if the bid is shortlisted
  • Record the outcome — win or loss — in the bid tracker
  • Conduct a lessons-learned debrief after every bid, win or lose
  • Request formal feedback from clients on unsuccessful bids to improve future responses
7. Knowledge Management & Templates
  • Maintain and continuously update the content library / knowledge repository
  • Build and improve reusable templates — proposal covers, case studies, CVs, boiler plates
  • Develop a question-answer bank from past RFPs so common sections don't get rewritten every time
  • Keep company credentials, certifications, and project references up to date
  • Version-control all documents so outdated content is never accidentally reused
Must-Have Skills
  • 3+ years experience in proposal, bid, or tender writing
  • Proven track record managing full end-to-end bid process
  • Experience on bids above $300K value
  • Strong English writing skills clear, persuasive, professional
  • Ability to work independently under tight deadlines
  • Experience coordinating across technical, finance & legal teams
  • Working knowledge of compliance matrices and bid registers
  • Proficient in MS Word, PowerPoint, Excel
Good to Have
  • APMP Foundation or Professional certification
  • Experience with bid tools like Loopio, Responsive, or RFPIO
  • Knowledge of government/public sector tendering process
  • Experience with GeM, GeBIZ, Jaggaer, Ariba portals
  • Background in IT, consulting, infrastructure, or services sector
  • Experience building and managing a team of junior writers
  • Understanding of pricing strategies and commercial models
