What this job involvesAs an Assistant Facilities Manager, you will support the Facilities Management team in overseeing multiple client buildings. Your responsibilities include leading soft‑service operations, coordinating vendors, maintaining office equipment, managing incident tickets, ensuring health and safety compliance, and providing travel and visitor support. You will conduct weekly walk‑rounds, manage safety drills and training, interface with hotels and travel managers, and assist in client event organization to deliver excellent facilities management.
Whatyour day‑to‑day will look like
- Supervise first‑line soft‑services team (reception, mail, meetings & events, cleaning, waste & recycling, vending & food).
- Monitor office equipment and supplies, and maintain communication with vendors for issue resolution and cost estimation.
- Conduct weekly walk‑rounds with cleaning managers, manage Trouble Ticket requests, and serve as the primary customer interface.
- Manage daily health & safety issues, fire drills, safety equipment, and training records.
- Provide travel and visitor support by coordinating with local hotels and global travel managers.
- Assist with internal and external client events, ensuring quality of conferencing and kitchen facilities.
- Raise purchase orders and manage Wiki pages and other communication channels for site coordination.
- High School Diploma or equivalent, or 4+ year degree with 2+ years of proven experience as an assistant facilities manager or coordinator.
- Experience in the commercial real‑estate management industry (third‑party provider, corporate, or consulting).
- Proficiency with a computerized maintenance management system (CMMS).
- Must reside in the Bay Area with reliable transportation to client buildings.
- Strong customer‑service, communication, managerial, and organizational skills.
- Basic technical knowledge of mechanical and electrical systems;
Microsoft Office proficiency. - Ability to work independently, handle stress, and maintain a self‑motivated, flexible approach.
- Goal‑oriented focus on meeting performance targets and adapting to changing situations.
- Military service or higher education in a related field (business, hospitality, facilities/property management).
- Experience with Corrigo CMMS and internal/external event organization.
- Knowledge of Wiki pages, purchase order processes, and communication channel management.
- Understanding of Building Operations Engineer/Facilities Manager responsibilities for deputising and operational continuity.
- Travel and visitor support experience, including coordination with local hotels.
- Experience managing health & safety compliance, fire teams, and related records.
